Job Details:
Are you someone who thrives on organization, managing information and enjoys supporting business growth through exceptional coordination and attention to detail?
If that sounds like you, we'd love to meet you. We're growing in the North American region and are looking for a Business Development Administrator who can support our team in both Canada and Australia. This role is 32-40 hours per week, and open to our office in Calgary.
At Okane, we believe that integrated mine closure planning is just the starting point to ‘Help Create a Better Tomorrow'. We work with mining companies to return land responsibly and safely, enabling what comes next to serve both people and the planet. Our work challenges the status quo — we advocate for meaningful partnerships with communities, including Indigenous rightsholders, and design solutions that create lasting financial, environmental, and social value. From early-stage planning through to relinquishment, we're helping reshape the future of mining — and we're looking for people who want to be part of that transformation.
Responsibilities:
- Update and maintain CRM database in Deltek Vantagepoint system, including ensuring client data and supporting attachments for all opportunities, firms, contacts and marketing campaigns is up to date.
- Document control and coordination including maintenance of Okane's picture and paper database, marketing collateral (brochures, videos, fact sheets, case studies) and associated metadata.
- Coordination of Business Development team SharePoint site and maintenance of associated metadata.
- Coordination of conference attendance including maintaining a conference schedule, sending out deadline reminders for abstract, paper and presentation submission and coordinating conference registration.
- Management and maintenance of registration in tender and vendor registration systems (federal, provincial and state) and tracking these sites for opportunities.
- Completion of all weekly, monthly and quarterly business unit reports and scorecards.
- General administrative support for Business Development team members as required (including minutes, travel coordination and procurement of promotional materials).
Expectations for this Role:
- You have proven, high level organizational skills and attention to detail.
- You have project coordination, task prioritization and team time management experience.
- You have strong written communication skills (ability to edit language, grammar and formatting).
- You have strong interpersonal skills, including networking and relationship building.
- You have a self-starter attitude and willingness to be innovative and look for new solutions and efficiencies to support the team.
- You demonstrate behaviours indicative of Okane's Core Values (Passionate, Smart & Clever, Positive, Thoughtful & Caring, and Humble)
- You actively integrate health, safety and environmental considerations into every aspect of your work. This may look like completing hazard assessments and other HSE project requirements, following internal procedures and policies, participating in safety training, and promoting a safety culture.
- You are comfortable working flexibly across time zones.
Qualifications:
- Demonstrated experience with Microsoft Office with strong knowledge of Excel, Word, Outlook and SharePoint.
- Experience using Microsoft PowerBI and Deltek Vantagepoint are considered an asset.
