Job Description

We are looking for a reliable FULL-TIME CITY DISPATCH & PLANNING expert to join the Operations team.

Hours: Monday to Friday, 1:00pm - 10:30pm

Salary: $55,000 - $65,000

The purpose of this position is to ensure that our fleet routes are created to meet the needs of our customers' orders. This position is also key to making last-minute adjustments to the routes to handle unforeseen changes in business demands while getting the fleet back to the terminal before established cut-off times.

DISPATCH DRIVERS:

  • Assign active loads to minimize empty miles and maximize usage.

  • Maintain communication and coordinate drivers through Isaacs & Peoplenet during the afternoon to minimize waiting times.

  • Monitor and support the team with established policies and procedures. Update team on any plan infractions.

  • Support the team by ensuring compliance with laws, regulations, and standards, with respect to transportation.

  • Build and foster relationships with the driving team to promote a positive working environment.

  • May support the coordination and dispatch of dedicated/recurring night runs.

  • Ensure all night drivers report to work, adjust schedules if necessary.

  • Ensure night shift line haul drivers and DDS drivers have equipment available to meet scheduled departure times.

  • Dispatch and assign all DDS drivers to trips/equipment, address any driver concerns/working with Driver Manager and Maintenance manager when appropriate.

PLAN RECOVERY OF SERVICE:

  • Modify routes as needed to meet the demands of the daily P&D, taking into consideration road construction & closures, weather conditions, customer availability.

  • Proactively communicate any service delays/interruptions/failures to the appropriate people and implement any recovery of service plans.

PLAN ROUTES END OF DAY:

  • Load plan for the next business day; deliver orders according to customer requirements, appointment times, maximize drivers & equipment to minimize costs.

  • Coordinate with other departments to determine incoming freight for the evening planning.

  • Track incoming and outgoing deliveries to ensure everything is accounted for in the daily load plan. Coordinate with brokerage when loads need to be handled outside of GX assets.

  • Prepare all trips in Truckmate and provide the dock team the load cards for each trailer.

  • Gather required paperwork ensuring records are complete and transferred over to other departments for processing.

  • Schedule driver resources to meet the following day's volume of deliveries/pick-ups. Communicate routes with drivers and provide any instructions required.

  • Communicate load plan to the morning dispatch/operations team.

  • Support the evening data entry and dock staff as required; address issues / concerns from the dock team.

  • Work closely and collaboratively with the Highway Division, Logistics Division and Customer Experience team.

  • Support the coordination and dispatch of dedicated runs and/or night dedicated/recurring linehaul runs.

  • Plan all temperature-controlled freight in appropriate assets. Coordinate additional resources as required.

NIGHT DDS DRIVER DISPATCH:

  • Maintain communication and coordinate drivers through Isaac & PeopleNet throughout the shift and after hours to minimize wait times.

  • Update Dispatch board with Driver Status, monitor available board and dock board.

  • Verify that all trailers are assigned correctly in the system.

MAINTENANCE:

  • Handle all afternoon and evening maintenance repairs until the end of the shift (City & Hwy fleets)

  • Use the PO Module in Truckmate to enter and update repair requests

  • Process invoices for payment in the PO Module

  • Monitor the [email protected] email inbox for incoming repairs and update the system & operations as required

CUSTOMS SUPPORT:

  • Monitor Crimson to ensure HWY drivers loads are cleared

  • Update Hwy drivers with their entry numbers once their loads are cleared

  • Work with customers and customs brokers to resolve customs issues

ADMINISTRATION:

  • Monitor communication group email boxes [email protected] , [email protected], [email protected] and ensure items are being addressed in a timely manner, including other communication platforms such as Front, Slack, Isaac, PeopleNet, etc.

  • Ensure records and systems are updated, as related to area of responsibility to ensure all business intelligence remains accurate and current.

  • May produce internal/external reporting as business needs demand.

Qualifications
  • 3+ Years of Experience in the Transportation Industry
  • Proficient with Google Workspace (Suite) an asset
  • Proficient with Truckmate (TMW) an asset
  • Education: High School Diploma or equivalent
