Who we need

Reporting to the Manager, IT Architecture & DevOps, we are hiring a Technical Program Coordinator to support the planning, coordination, and documentation that keep IT delivery organized, visible, and moving forward. As our new Technical Program Coordinator, you will work closely with IT teams and business stakeholders to coordinate sprint and delivery activities, maintain the rolling roadmap, administer project information in Azure DevOps, and strengthen the documentation and processes that support consistent delivery. You will help bring structure and clarity across multiple initiatives, keeping priorities, actions, requirements, and documentation current while ensuring the right people have visibility into progress, blockers, and next steps.

This is an existing, full-time role, working 2 days remotely and 3 days on-site at 85 Richmond Street West, with a move to our new headquarters at 120 Bloor Street East in 2027.

What's in it for you

Career-building exposure. You will gain hands-on experience coordinating technology initiatives across IT, Data, and Automation while building your skills in Agile delivery, Azure DevOps, documentation, roadmap management, and stakeholder communication. You will have exposure to a broad range of initiatives, including enterprise CRM and student information system projects, new program launches, and acquisition-related work.

Ownership and visibility. You will take ownership of the coordination and delivery practices that help the team stay organized and keep work moving forward. Working closely with the Manager, IT Architecture & DevOps and stakeholders across the organization, you will have visibility into priorities, projects, and decisions while becoming a trusted point of connection between technical teams and the business.

Growth and breadth. This is a newly created role with the opportunity to build a strong foundation in technical program and project coordination. You will learn how technology initiatives move from intake and planning through delivery and documentation, gaining broad experience across projects, systems, teams, and stakeholders that can support your continued growth in IT and technology delivery.

How you will make an impact

  • Coordinate delivery. You will support intake, sprint planning, and delivery scheduling across IT initiatives, helping teams stay aligned on priorities, timelines, ownership, and next steps. You will prepare recurring sprint alignment sessions, capture actions and decisions, and follow up on outstanding items to keep work moving forward.
  • Maintain visibility. You will maintain the rolling roadmap and keep delivery information accurate and current as priorities evolve. You will use Azure DevOps to administer work items, iterations, dates, statuses, and timelines, helping teams and stakeholders maintain a clear view of progress, upcoming work, and blockers.
  • Strengthen documentation. You will help establish consistent documentation practices across the team, reviewing runbooks and technical documentation for completeness, clarity, and readiness for handoff. You will maintain the Product Library and knowledge base, flag outdated information, follow up with owners, and help ensure projects are properly documented before they are closed.
  • Connect teams and stakeholders. You will work across IT teams and business units to support clear communication around priorities, requirements, project status, and delivery. You will coordinate cross-functional meetings, document decisions and actions, and help make it easier for stakeholders to understand how work moves through the intake and delivery process.
  • Keep priorities moving. You will track open vendor activities, support tickets, escalations, requirements, and follow-up items through to resolution. You will surface aging items and blockers, maintain accurate records, and proactively follow up with the right people to keep commitments and deliverables on track.

What you bring

  • The project coordination experience. You have experience supporting technology projects, delivery teams, or related initiatives where you have coordinated priorities, tracked actions and requirements, maintained project information, and followed work through to completion. You understand the fundamentals of Agile delivery, including sprints, epics, stories, backlogs, and the practices that keep project information organized and current.
  • The technical aptitude. You are comfortable working with technology teams and using project or work management tools such as Azure DevOps, Jira, or a similar platform. You can quickly learn new systems and processes, and you are confident working within the Microsoft ecosystem, including tools such as SharePoint, OneDrive, Power BI, Microsoft Power Apps and Power Automate
  • The attention to detail. You understand the value of accurate, accessible documentation and consistent project practices. You can maintain runbooks, trackers, knowledge repositories, action items, and other project documentation, identifying gaps and following up with others to ensure information is complete and up to date.
  • The communication skills. You can build relationships with technical and non-technical stakeholders, ask thoughtful questions, and translate project information into clear updates and next steps. You are comfortable connecting with new people, facilitating conversations, and following up when you need information or action from others.
  • The initiative and organization. You can manage multiple priorities without losing sight of the details or waiting to be prompted on every next step. You take ownership of follow-through, recognize when something needs attention, and know when to resolve an issue independently and when to bring it forward for support or a decision.
