Position Overview We are seeking a Project Coordinator to join a site-based Project Management team supporting the successful execution of construction projects. The Project Coordinator will play a key role in project organization, scheduling, document control, stakeholder coordination, financial tracking, and compliance. Working closely with Project Managers, owners, subcontractors, and other project stakeholders, this individual will help ensure projects remain organized, on schedule, properly documented, and aligned with established processes and safety requirements. This is an excellent opportunity for a construction professional who enjoys working in a fast-paced, field-oriented environment and wants to take on increasing responsibility within project management. Key Responsibilities Document Control
  • Manage and maintain project documentation and records.
  • Coordinate and follow up on RFIs, transmittals, submittals, and other project correspondence.
  • Ensure documentation is complete, organized, and aligned with project requirements.
  • Maintain accurate project files and support overall document control processes.
Planning & Scheduling
  • Develop, maintain, and monitor project schedules and plans.
  • Track project milestones, deadlines, deliverables, and outstanding activities.
  • Follow up with project stakeholders to ensure deadlines are met.
  • Identify potential scheduling issues and communicate them proactively.
Stakeholder Coordination
  • Organize and participate in project and stakeholder meetings.
  • Chair or facilitate meetings when appropriate.
  • Prepare and distribute meeting minutes.
  • Track action items and follow up with responsible parties.
  • Maintain effective communication with owners, subcontractors, project teams, and other stakeholders.
Administrative & Project Support
  • Provide day-to-day administrative and operational support to the Project Management team.
  • Prepare presentations, reports, and project materials.
  • Assist with various project-related tasks and initiatives as required.
  • Support Project Managers with coordination and follow-up activities.
Financial & Compliance Tracking
  • Assist with invoice expediting and project financial administration.
  • Process and monitor owner progress updates.
  • Track subcontractor compliance requirements.
  • Identify restricted or non-compliant subcontractors through platforms such as Avetta.
  • Work closely with operations to resolve compliance issues and prevent project delays.
Risk & Issue Management
  • Monitor project risks, issues, and potential roadblocks.
  • Help identify proactive solutions to project challenges.
  • Communicate issues effectively to the appropriate stakeholders.
  • Support the Project Management team in maintaining alignment between different project interests and priorities.
Safety & Environmental Responsibility
  • Follow all applicable health, safety, and environmental policies and procedures.
  • Promote a strong safety culture across project and field environments.
  • Consistently use required PPE and follow site-specific safety requirements.
Qualifications & Requirements
  • Degree in Engineering, Engineering Technology diploma, or Bachelor of Applied Science (B.A.Sc.) in Civil Engineering.
  • Minimum 3 years of hands-on project coordination experience within the construction industry.
  • Experience working in a field-based construction environment is strongly preferred.
  • Strong proficiency with Microsoft Office, including Word and Excel.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple priorities and shifting deadlines in a fast-paced environment.
  • Comfortable working collaboratively with Project Managers, owners, subcontractors, and field teams.
  • Strong attention to detail and follow-through.
Safety Requirements
  • Strict adherence to all site health and safety protocols is required.
  • Candidates must be comfortable wearing required PPE, including respirators where applicable.
  • Where respirator use is required, candidates must be able to meet applicable fit-testing requirements, including maintaining a clean-shaven area where the respirator seal contacts the face.
