Your Role & Impact
As an Administration Coordinator / Bookkeeper, you will provide comprehensive administrative, financial, and operational support to the Airport Manager and airport team. You will serve as the professional first point of contact for clients, tenants, visitors, and stakeholders; coordinate administrative activities; maintain critical records; and contribute to the smooth, efficient operation of the airport.
What You'll Do
- Provide administrative support to the Airport Manager, including coordinating meetings, managing their calendar, and collaborating with department leads on operational and project-based needs.
- Serve as a professional first point of contact by answering calls, taking messages, and responding to client and visitor inquiries.
- Perform accounting data entry, accounts receivable, accounts payable, bank reconciliation, and invoicing.
- Prepare and submit government tax claims, including GST/HST returns, in compliance with regulatory requirements.
- Maintain organized filing systems for financial and administrative documents, and generate regular reports on transactions and assigned operational metrics.
- Draft, format, and proofread internal and external communications, memos, letters, and reports.
- Assist in maintaining SIA's Safety Management System (SMS) files and employee training records, including tracking employee certifications
- Coordinate meetings, agendas, and minutes for management and safety committee meetings
- Support preparation of materials for audits, inspections, and safety management system (SMS) reviews
- Assist in maintaining records required for regulatory compliance (Transport Canada, security programs, airport certification documentation)
- Liaise with airport tenants, ground handling agents, airlines, and government agencies (e.g., Transport Canada, CATSA, CBSA) on routine administrative matters
- Order and track office supplies
- Assist with additional tasks designated by airport leadership.
- Other duties as assigned.
What You Bring
- Post-secondary degree, diploma, or certificate in finance, accounting, or business administration with 5 years of applicable experience.
- Previous experience working in an airport or in a finance / administrative role is preferred.
- Ability to prepare government remittances (GST/HST)
- Ability to perform accounts receivable, accounts payable, bank reconciliation, and invoicing.
- Proficiency with Microsoft Suite products and accounting software (e.g., Microsoft Excel, QuickBooks)
- Ability to communicate professionally, both written and verbal
- Ability to work independently and manage multiple priorities in a confidential, professional manner
- Ability to work in an organized, proactive manner
- Ability to work independently or as part of a team
