Summary:

The Rental Coordinator is responsible for all rental activity in their region. Based in our Burnaby office, you aim to be a reliable rental resource for external and internal customers. Your responsibilities include providing top-notch customer service with a positive attitude, maintaining existing business and seeking new business opportunities, optimizing the rental fleet's inventory, and being a good steward of the company's rental fleet.

Duties and Responsibilities:

  • Purpose & Values: Live and demonstrate the company's purpose and values, which are anchored around delivering an excellent customer experience with integrity, respect, and continuous improvement while fulfilling your potential.
  • Work safely and in alignment with all health and safety regulations.
  • Be knowledgeable about all rental units and their application. (Internal training will be provided.)
  • Seek new rental opportunities, develop leads from the company website, and promptly respond to customer emails and phone inquiries.
  • Qualify opportunities and source the best rental item for the customer's application.
  • Quote rates, deliveries, and terms to all customers and schedule timely follow-up.
  • Secure and fulfill orders, including:
    • Creating and collecting rental agreements
    • Preparing rental units for shipping
    • Processing rental invoices
  • Prepare, maintain, and calibrate units as needed.
  • Attend to A/R and A/P activities associated with Service & Rental business.
  • Support other offices during peak periods and during vacation and sick coverage.
  • Fully participate in annual warehouse inventory and unit fleet counts.
  • Provide support to the Service department as directed by management.
  • Support the warehouse during peak periods and/or manpower shortages.
  • Perform additional duties as assigned to support the team and organizational goals.

Qualifications and Education:

  • Post-secondary education in a related science discipline is considered an asset.
  • Proven experience in rental environments with success in matching customer requirements to a broad array of products.
  • Experience working with CRM systems and related tools to capture customer information and rental activity.

Knowledge / Skills / Abilities

  • Working knowledge of rental fleet management and operations is an asset.
  • Proven analytical and problem-solving abilities for customer and company needs.
  • Professional presentation and communication skills.
  • Excellent verbal and written communication skills in English.
  • Strong organization and time management skills.
  • Proficiency with Windows and Microsoft applications.
  • Strong negotiation and closing skills.
  • Self-motivated with the ability to work independently and collaboratively to meet or exceed goals.
  • Positive attitude.
  • Ability to partner with key stakeholders, including sales, finance, service, and shipping, to support the growth and ongoing operations of the company's rental business.

Key Working Relationships

  • Build and maintain strong relationships with customers renting equipment or services. This includes understanding customer needs, providing excellent service, and resolving concerns or issues.
  • Collaborate with the sales team to ensure customer requirements are met and equipment is available when needed. Work closely with sales representatives to fulfill customer orders.
  • Coordinate billing, invoicing, and payment processes with finance and accounting departments to ensure accurate and timely financial transactions related to rentals.
  • Coordinate with service and warehouse teams to ensure timely equipment delivery, installation, and maintenance
