ABOUT THE ROLE

The Manager, Data and Donor Relations provides leadership and accountability for Cuso's fundraising data systems, donor relations function, and related business processes. The role ensures that Cuso's CRM, digital fundraising, and marketing platforms are effectively managed to support fundraising growth, donor stewardship, compliance, and data-informed decision-making.

The role also serves as Cuso's organizational lead for fundraising data systems, including Raiser's Edge, Feathr, FundraiseUp, and related platforms. While the Manager may perform specialized data, reporting, system administration, and troubleshooting activities where required, the primary purpose of the role is to manage the function, strengthen systems and processes, support strategic fundraising decisions, and ensure compliance with applicable standards and regulations.

KEY RESPONSIBILITIES

Data Management:

  • Provide leadership for the effective use of Raiser's Edge and the integration of data across fundraising, marketing, and donor engagement platforms.
  • Serve as the organizational lead/administrator for Cuso's CRM (Raiser's Edge), Email and Marketing Platform (Feathr), and online Fundraising platform (FundraiseUp)
  • Manage the administration of fundraising systems, including database access, permission levels, maintenance activities, duplicate record management, quality control reviews, and system optimization.
  • Prepare and validate complex mailing lists, segmentation, personalized ask amounts, and tracking structures for multi-channel fundraising appeals.
  • Manage mass imports of data, bulk updates, data archiving, and ongoing data integrations between fundraising platforms and Raiser's Edge, ensuring data accuracy and integrity and real-time assessment of revenue.
  • Lead the development and maintenance of fundraising performance reports and dashboards to support campaign evaluation and strategic decision-making. Guide data input and system use to ensure long-term data quality and projections, to support lead generation and fundraising activities.
  • Build custom reports, review data trends and make recommendations towards improving efficiency and donor experience.
  • Collaborate with fundraisers to support lead generation, prospect research and moves management activities, including leveraging system automations and workflows.
  • Ensure Finance Team has access to gift processing and financial details to reconcile gifts, provide transaction information, and troubleshoot issues.
  • Lead and implement core database maintenance, duplicate record merging, and data clean-up initiatives.
  • Ensure that appropriate documentation, procedures, and policies are maintained to support data integrity, compliance, and effective system use.

Donor Relations Management:

  • Directly manage the Donor Relations Team, ensuring high-quality donor experience and service standards that meet donor expectations.
  • Evaluate Donor Relations procedures and systems to improve donor experience, gift tracking, and financial reconciliation.
  • Establish and manage data processes regarding which support acknowledgement, recognition, ongoing communications and continued cultivation of donors (past and current).
  • Ensure gift processing and receipting procedures follow CRA standards and Imagine Canada guidelines.
  • Develop, monitor and continually evaluate donor retention strategies managed by the Donor Relations Team.
  • Provide additional support to the Donor Relations team during peak volume periods.

Strategic Leadership and Compliance:

  • Provide strategic leadership for Cuso's fundraising data and donor management systems to ensure they support organizational objectives.
  • Identify opportunities for system enhancements, process improvements, automation, and integration across fundraising platforms.
  • Establish and monitor standards for data governance, reporting, quality assurance, and system utilization.
  • Analyze fundraising performance and donor data, providing strategic insights and recommendations to support decision-making.
  • Ensure fundraising data practices comply with applicable privacy requirements, charitable receipting regulations, and organizational policies.
  • Lead cross-functional collaboration related to fundraising systems, donor data, reporting, and business process improvements.

QUALIFICATIONS

  • 3 – 5 years of Raiser's Edge experience (or 1-2 years of Raiser's Edge experience plus 1-2 years experience using another CRM).
  • 2+ years of experience managing a database, performing database admin functions, leading technical and training support for other users, or similar.
  • 2+ years leading a donor relations team, or similar customer service team.
  • Solid understanding of various fundraising activities, as well as lead generation activities, and donor stewardship.
  • Experience preparing complex data selections, segmentation, lists, and reports to support multi-channel fundraising appeals, including mass mailings. Experience extracting, analyzing, and interpreting data to support decision-making.
  • Advanced proficiency in Microsoft Excel including data manipulation, formulas, and reporting.
  • Experience establishing data quality standards, maintaining database integrity, and implementing data management processes.
  • Technical project management experience is an asset.
  • Excellent ability to organize and prioritize, work under pressure, and to meet deadlines.
  • Excellent analytical skills and attention to detail.
