THE ROLE
Our client is a well-established financial advisory practice in Milton with more than 50 years of history and a strong, long-standing client base.
They are seeking a Client Service & Administrative Assistant to join their growing practice and provide a combination of client service, financial account administration, compliance support, and day-to-day administrative coordination.
This is an excellent opportunity for someone who enjoys working directly with clients, managing detailed paperwork, following processes through to completion, and taking ownership of their work.

RESPONSIBILITIES
- Prepare and process client paperwork for new accounts, transfers, redemptions, purchases, switches, PACs, SWPs, beneficiary changes, and account updates
- Follow up on missing signatures, information, and outstanding documentation
- Maintain accurate and organized client files and records
- Assist with client meeting preparation and post-meeting follow-up
- Respond to routine client inquiries and direct questions appropriately
- Track submitted paperwork and account requests through to completion
- Assist with dealer administration, fee documentation, transfer paperwork, and client file updates
- Maintain task lists, follow-up logs, and internal tracking systems
- Organize digital documents and maintain consistent filing standards
- Support the advisor and team with recurring administrative activities
- Provide backup support during busy periods or staff absences
- Identify administrative bottlenecks and suggest process improvements
REQUIREMENTS
- Previous experience in financial services, investment, insurance, banking, or a professional office environment preferred
- Mutual fund or investment administration experience is an asset
- Strong attention to detail and accuracy
- Excellent organizational and time-management skills
- Ability to manage multiple priorities and outstanding items
- Strong written and verbal communication skills
- Comfortable handling confidential client and financial information
- Proficiency with Microsoft Outlook, Word, Excel, PDF tools, and CRM/client management systems
- Professional, reliable, discreet, and client-focused
- Ability to work independently and follow through without constant direction
