Land Development Project Coordinator

Blackridge Search Group has been engaged on an exclusive search for a Land Development Project Coordinator with an established, multi-generational residential land development company in Southwestern Ontario.

The organization is managing multiple active development phases and is continuing to strengthen its internal project delivery capability as its portfolio grows.

This is not a traditional administrative coordinator role.

Reporting directly to the Chief Operating Officer, the successful candidate will sit at the centre of multiple active land development projects—keeping schedules current, consultants accountable, project information accurate, meetings productive and outstanding items moving toward resolution.

What You'll Be Doing

Project Planning & Tracking

  • Maintain and update Microsoft Project schedules across multiple active development phases.
  • Track project timelines, milestones, deliverables and outstanding items.
  • Maintain project information across Microsoft Project, LotWorks, Egnyte, Excel and related systems.
  • Identify gaps, inconsistencies and outdated project information.
  • Help create clear visibility into project status and upcoming priorities.

Project & Meeting Coordination

  • Coordinate weekly internal and external project meetings.
  • Prepare agendas and maintain clear meeting notes, decisions and action items.
  • Follow up with internal team members and external consultants to maintain accountability.
  • Track outstanding items through completion.
  • Coordinate the distribution and tracking of RFP packages when required.

Consultant & Stakeholder Coordination

You'll work closely with a range of project stakeholders, including:

  • Civil engineers
  • Planners
  • Municipalities
  • Contractors
  • Builders
  • Utilities
  • External consultants

You'll track consultant deliverables and timelines, follow up on outstanding information and escalate issues or delays to the COO when required.

This role suits someone who is comfortable picking up the phone, asking the right questions and respectfully keeping people accountable.

Documentation & Systems

  • Maintain organized and current project documentation.
  • Manage document and version control.
  • Ensure project records are accurate, accessible and consistently maintained.
  • Support strong project workflows and documentation practices across multiple active developments.

Project Cost & Invoice Tracking

While this is not an accounting role, you'll also contribute to accurate project cost management by:

  • Reviewing project invoices for completeness and coding accuracy.
  • Maintaining project cost and invoice records.
  • Updating approved costs and actual expenditures against project budgets.
  • Ensuring supporting financial documentation remains organized and current.

What We're Looking For

We're looking for someone who is exceptionally strong at project coordination, organization and follow-through.

Relevant backgrounds could include experience with a:

  • Land developer
  • Residential developer or builder
  • Civil engineering consultancy
  • Planning or development consultancy
  • Municipality
  • Construction or infrastructure organization

Direct land-development experience would be highly valuable, but equally important is your ability to understand complex projects, manage information and keep multiple stakeholders and deadlines moving simultaneously.

You'll ideally bring:

  • Strong project coordination and project-tracking experience.
  • Experience maintaining schedules and timelines using Microsoft Project.
  • Strong Microsoft Excel skills.
  • The ability to manage multiple projects and competing priorities without losing detail.
  • Strong written and verbal communication.
  • Confidence coordinating with consultants, engineers, contractors, municipalities and senior leadership.
  • Strong attention to detail and accuracy.
  • A proactive approach to identifying issues and following them through.

Experience with systems such as Egnyte, LotWorks, Sage or Procore is an asset, although candidates who are strong technically and comfortable learning new systems will also be considered.
