Position Overview
Globeducate Canada is seeking an organized, proactive and service-oriented Admissions Coordinator to manage the admissions pipeline for Toronto Prep School, The Clover School and Blyth Academy Online.
The Admissions Coordinator will guide prospective families and students through every stage of the admissions journey from initial enquiry through application, assessment, offer and enrolment. The successful candidate will combine strong relationship-management skills with disciplined pipeline administration, ensuring families receive a professional, responsive and welcoming experience across all three brands.
Key Responsibilities
  • Manage and maintain the admissions pipeline for Toronto Prep School, The Clover School and Blyth Academy Online.
  • Respond promptly and professionally to enquiries from prospective students, parents, educational consultants and other referral sources.
  • Guide families through admissions requirements, application procedures, supporting documentation and next steps.
  • Conduct initial consultations with prospective families to understand their needs and recommend the most appropriate school or program.
  • Coordinate school tours, virtual consultations, interviews, assessments and follow-up activities.
  • Review applications for completeness and collaborate with school leadership and academic teams throughout the admissions decision process.
  • Maintain accurate and current applicant records, communications and pipeline stages within HubSpot or the designated CRM system.
  • Proactively follow up with prospective families to support application completion and enrolment conversion.
  • Prepare offers of admission and coordinate the collection of registration documents and deposits.
  • Provide regular admissions pipeline reports, including enquiries, applications, interviews, offers, enrolments, conversion rates and outstanding follow-ups.
  • Identify inactive or stalled enquiries and implement appropriate re-engagement strategies.
  • Collaborate with marketing teams to support open houses, information sessions, recruitment events and lead-generation campaigns.
  • Share feedback on applicant trends, common questions and barriers to enrolment to help improve recruitment and communication strategies.
  • Ensure admissions practices comply with school policies, privacy requirements and Globeducate's safeguarding standards.
  • Support other admissions and recruitment initiatives as required.
Qualifications and Experience
  • Diploma or degree in education, business, communications, administration or a related field.
  • Preferably two to three years of experience in school admissions, student recruitment, enrolment management or a related role.
  • Experience working in a private school, independent school, Montessori school, online education or international education environment is considered an asset.
  • Experience managing prospective families through a structured admissions or sales pipeline.
  • Proficiency with CRM systems, preferably HubSpot, and standard Microsoft Office or Google Workspace applications.
  • Strong written and verbal communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple pipelines, priorities and deadlines across different school brands.
  • Ability to handle confidential student and family information with discretion.
  • Availability to support occasional evening or weekend recruitment events may be required.
