Job Details:
Within your first few months, you'd take full ownership of our weekly retail store communications, bring structure and immaculate formatting to our shared operational drives, and manage the administrative logistics behind store assets like swatches and promotional hangtags. In a year, you'll be proud to say you've optimized how our HQ team and store managers interact—building smooth, reliable systems that allow our retail footprint to scale without missing a beat.As a Particle (people of Article), you will have a high level of autonomy to solve challenging, meaningful problems the best way you can. That means you're trusted to explore solutions you believe will work best (you're the expert, after all). You'll do all this while growing your skills within a company that is redefining the furniture industry. You'll be joining a dynamic, collaborative, and extroverted HQ team that works hard, supports one another, and stays closely connected. Reporting to our Senior Manager of Retail Operations, you'll work side-by-side with our operations leads, visual merchandisers, and store managers. You'll be the central heartbeat of the department—the person everyone relies on to bring order to chaos, keep deadlines on track, and bridge the gap between HQ strategy and store execution.
We are a hybrid team — you'll be in our Vancouver office 3 days per week (your choice of Tuesday, Wednesday, and Thursday to align with team collaboration days).
What You'll Do:You'll be part of the HQ Retail Operations team, working closely with our leadership and specialist roles—including our Senior Manager of Retail Operations, Store Designer, New Store Opening Manager, Retail Construction Manager, and Store Managers across North America.
Specifically, you will:
- Own all retail store communications, writing, organizing, and distributing timely operational updates, announcements, and QA holds so store teams always know what to execute.
- Build and distribute weekly business reports, synthesizing sales performance, KPIs, customer insights, and operational priorities into clear, actionable updates.
- Format and elevate team documentation, taking raw inputs and creating beautifully formatted, professional SOPs, retail playbooks, and slideshow presentations.
- Coordinate operational programs and materials, managing vendor purchase orders, logistics for sales events, and keeping store assets (like custom swatch programs and product hangtags) fully replenished.
- Keep the department running on schedule, managing operational calendars, tracking project milestones, and proactively following up on action items.
- Manage the Brick & Mortar shared drive, championing immaculate version control, file organization, and template consistency across the department.
- Organize events and meetings, coordinating department gatherings, store leadership meetings, team celebrations, and onboarding itineraries.
- Build strong store connections, spending occasional time in-store (e.g., spending a few hours at our local Strathcona store) to deeply understand how HQ communications directly impact retail teams on the sales floor.
Who You Are:
- Exceptionally Organized: You naturally create order from chaos. You rely on tools (calendars, project trackers, detailed lists) to manage multiple moving parts with total accuracy and high standards.
- An Eagle Eye for Detail: You catch the inconsistencies others miss—whether it's a broken link, a formatting mismatch, or a rogue font in a presentation slides deck. You take genuine pride in delivering polished work.
- Quietly Confident & Articulate: You're adaptable, speak up when something doesn't look right, and feel comfortable sharing direction with store managers and cross-functional partners.
- A Proactive Problem Solver: You anticipate administrative bottlenecks before they happen and step up to solve them independently.
- A Systems Builder: You love helping others succeed behind the scenes and find satisfaction in building smooth, repeatable administrative processes.
- Tech & Tools Savvy: You have advanced proficiency in Google Workspace (Docs, Sheets, Slides, Drive) and are comfortable with project management software (like Wrike, Asana, or Monday.com).
- Accountable & Resilient: High standards matter to you. When things don't go as planned, you own it, adapt quickly, and focus on the solution.
- Experienced: You have 2+ years of administrative, project coordination, executive support, or operations experience. (Retail operations experience is a nice bonus, but strong administrative muscle and organization are what matter most!).
- Legally able to work in Canada (up to FULL TIME HOURS year-round/ no Student VISA).
- Completion of criminal background check.
