Our client is a leading global specialty geotechnical contractor that delivers innovative foundation and ground engineering solutions for complex infrastructure, commercial, industrial, and civil construction projects. With a strong reputation for technical expertise, safety, and project execution, they are seeking a Project Administrator (Camp & Travel Coordinator) to join their growing team.
THE ROLE
Reporting to the Project Manager, the Project Administrator (Camp & Travel Coordinator) plays a vital role in supporting major infrastructure projects by coordinating workforce travel, camp accommodations, project administration, and logistics for employees and subcontractors. This position is responsible for ensuring personnel are mobilized efficiently while maintaining accurate travel records, manpower schedules, and project documentation.
This position supports a major infrastructure project in Kitimat, British Columbia, and follows a Fly-In Fly-Out (FIFO) schedule of 10 days on site followed by 5 days off. Flights, accommodations, meals, and camp are provided while on rotation. Candidates should enjoy working in a fast-paced construction environment and thrive in a role where no two days are the same.

RESPONSIBILITIES
- Coordinate flights, hotels, camp accommodations, airport transportation, and orientation bookings for employees and subcontractors.
- Manage a high volume of travel requests while ensuring all arrangements align with project schedules and company requirements.
- Maintain accurate travel records, flight manifests, camp bookings, and workforce schedules.
- Track the status of active travel requests and respond quickly to schedule changes, cancellations, and special requests.
- Maintain and update project manpower schedules to support workforce planning.
- Communicate with employees, field crews, subcontractors, vendors, and project teams regarding travel arrangements and project logistics.
- Support Project Managers and Superintendents with project administration and coordination activities.
- Attend regular project meetings and provide updates on travel logistics and workforce planning.
- Process packing slips and maintain project documentation within internal systems.
- Utilize Microsoft Office and Outlook to prepare reports, maintain records, and manage project communications.
- Ensure compliance with company policies, project requirements, and camp procedures.
- Provide exceptional administrative support while helping keep projects running efficiently.
REQUIREMENTS
- Previous experience in project administration, construction administration, travel coordination, workforce logistics, camp coordination, or a similar administrative role.
- Experience supporting construction, heavy civil, mining, engineering, industrial, or infrastructure projects is considered a strong asset.
- Strong organizational and multitasking skills with the ability to manage multiple priorities in a fast-paced environment.
- Excellent communication and customer service skills with the ability to work effectively with field personnel and project teams.
- High attention to detail and accuracy when coordinating travel and maintaining project records.
- Strong proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Experience coordinating travel, accommodations, transportation, or workforce scheduling is highly preferred.
- Ability and willingness to work a 10 days on / 5 days off Fly-In Fly-Out (FIFO) rotation to Kitimat, BC.
- Comfortable working in a remote camp environment.
- Self-motivated with excellent problem-solving and time management skills.
- Valid driver's license.
