The role

The Office Administrator is central to keeping day-to-day operations running smoothly across our sites. You'll bring strong organizational instincts, sound judgment, and the ability to juggle competing priorities without missing a beat.

You'll wear two hats: leading purchasing and corporate administrative functions and managing the administrative team that supports our locations. Above all, you'll be a steady, consistent presence — someone who builds trust with managers and keeps processes running the same way, every time, at every site.

What you will do

• Lead purchasing across the organization — sourcing, ordering, and tracking to keep operations well-supplied and compliant

• Own the invoice-to-payment cycle: process invoices, match purchase orders, and manage supplier documentation

• Partner with the Controller on corporate reporting, audits, and administrative projects

• Manage vendor relationships and keep office equipment and supplies stocked and functioning

• Roll out internal communications and help implement new policies and administrative initiatives

• Look for smarter, faster ways to run recurring administrative processes

• Act as the connective tissue between departments — understanding what each team needs and making sure administrative support keeps pace

• Standardize how reception and administrative work gets done across every site

• Hire, train, and supervise administrative and front-of-house staff, and build their schedules

• Coach and mentor the team, giving regular feedback that helps people grow

• Make sure every location is covered during vacations, absences, and busy stretches

• Set the tone for excellent service — internally and externally — and step in personally when issues need a calm, professional resolution

What we are looking for

• A post-secondary credential in business, office administration, accounting, or a related field (preferred, not required)

• 3 to 5 years in an administrative role, ideally somewhere with multiple locations or a fast-paced operational environment

• Experience supervising or leading a team – this is a must

• Solid grasp of office administration fundamentals and how a multi-site operation runs

• Bonus points for purchasing or vendor management experience

• Comfortable in Microsoft Office (Outlook, Word, Excel, Teams)

• Familiarity with business management or ERP-type systems is a plus

• Strong communicator, sharp with priorities, and genuinely good with people

• Someone who can hold confidences, and operate with discretion

What we offer
