Customer Service Associate/Office Administration

  • Maintain the overall Ambience of the workplace
  • Receiving and greeting all visitors in a warm professional manner.
  • Execute Front desk reception duties which include handling all phone traffic and managing internal & external communications in a timely and professional manner.
  • Taking messages and directing voicemails to employee inboxes
  • Maintaining a clean, organized office environment
  • Maintain Calendars and Scheduling Meetings
  • Assisting HR and Sales in Event Preparation
  • Paper correspondence and mails
  • Catering to the In-store Customer, Invoices and Payments
  • Maintaining Inventory of in store stocks and Stationery
  • Filing i.e. Invoices and Shipping log.

Filing and administrative duties

  • Performing general administrative duties such as collecting and distributing all incoming mail and courier items.
  • Organize and maintain company filing system
  • Developing and maintaining tracking systems on all incoming & outgoing mails and courier items for the office.

Qualifications, Competencies and Skills:

  • Bachelor's degree or diploma in office administration, business administration etc.
  • Proven work experience as a Receptionist, Front Office Representative, Admin Assistant or similar role
  • Advanced level knowledge of common industry software such as Microsoft Office Suite, Adobe Acrobat, Sage 300.
  • Excellent verbal and written communication skills.
  • Exceptional interpersonal skills with demonstrated ability to build relationships.
  • Proactive and highly organized with an exceptional ability to multi-task.
  • Ability to respond to requests in a timely manner.
  • Ability to be resourceful and proactive when issues arise
  • Strong commitment to customer service and continuous improvement.
  • Demonstrated enthusiasm for continuous learning relevant to the role.
