As our Treatment Plan Coordinator, you are the patient's guide and advocate. After the dentist diagnoses a treatment, you step in to translate clinical recommendations into clear, actionable, and financially manageable steps for the patient. You will remove barriers to care by handling insurance inquiries, explaining financing options, and ensuring the patient feels fully informed and confident in moving forward with their dental health.
Key Responsibilities
Patient Education & Case Presentation
Present and explain dental treatment plans to patients in a clear, compassionate, and easy-to-understand manner, translating clinical jargon into everyday language.
Address patient concerns, questions, and objections regarding their proposed treatments with empathy and professionalism.
Ensure all necessary informed consent forms are understood and signed prior to scheduling.
Financial Coordination & Insurance
Assist patients with insurance estimates, pre-authorizations, and financing options, helping them maximize their benefits.
Navigate insurance portals and communicate directly with providers to verify coverage breakdowns.
Collect payments, arrange payment plans, and clearly explain out-of-pocket costs to avoid financial surprises.
Scheduling & Patient Follow-Up
Coordinate and schedule treatment appointments efficiently, optimizing the provider's schedule for production and smooth clinical flow.
Follow up on pending treatments and maintain communication with patients who need more time to decide, ensuring they don't fall off our radar.
Manage a continuing care/unscheduled treatment list to proactively reach out to patients.
Clinic Collaboration & Administrative Support
Work closely with doctors and the clinical team to ensure smooth patient flow from the operatory to the consultation room.
Provide outstanding customer service and patient support from the moment they walk in until their treatment is complete.
Accurately update and maintain patient files and treatment notes within our practice management software.
Qualifications & Skills
Experience: 1–3 years of experience in a dental office setting (previous experience as a Treatment Coordinator, Dental Administrator, or RDA is highly preferred).
Knowledge: Strong understanding of dental terminology, procedures, and billing codes. Familiarity with Manitoba dental insurance plans is a major asset.
Tech-Savvy: Proficiency in dental practice management software (e.g., Cleardent, Tracker, or Dentrix) and standard office applications.
Communication: Exceptional verbal and written communication skills. You must be comfortable discussing finances and closing treatment plans without being pushy.
Personality: High emotional intelligence, organized, detail-oriented, and capable of thriving in a fast-paced clinical environment.
