Westerner Park is seeking a dynamic and detail-oriented Workforce Coordinator to join our team. This role plays a key part in supporting the full employee and volunteer lifecycle, including recruitment, onboarding, employee administration, leave management, offboarding, and volunteer program coordination.
Working closely with leaders across the organization, the Workforce Coordinator helps deliver a consistent, positive experience for employees, volunteers, and candidates while supporting the operational needs of Westerner Park's events and daily operations.
This position serves as a key point of contact for workforce administration and volunteer engagement, ensuring processes are efficient, compliant, and aligned with organizational values while building strong relationships with employees, volunteers, and community partners.
Reporting to the Human Resources Business Partner, the Workforce Coordinator is responsible for the following:
Employee Lifecycle & Workforce Administration
- Coordinate full-cycle recruitment for casual, part-time, and permanent positions, including job postings, candidate screening, interview coordination, reference checks, and preparation of employment offers.
- Partner with hiring managers to support fair, consistent, and inclusive recruitment and selection practices.
- Support workforce planning by tracking vacancies, recruitment activity, onboarding progress, and workforce metrics.
- Coordinate employee onboarding, including employment documentation, orientation, system access, and new hire communications to create a positive employee experience.
- Maintain accurate employee records and employment information within the HRIS, including position changes, status updates, and employee lifecycle transactions.
- Provide employee information and documentation to support internal processes, including Occupational Health and Safety (OHS) requirements, as needed.
- Coordinate employee leave of absence processes, ensuring compliance with legislation, organizational policies, and confidentiality requirements.
- Manage employee offboarding processes, including employment documentation, system access removal, asset recovery coordination, and exit processes.
- Prepare and maintain employment documentation, including employment letters, employee status change forms, and other HR correspondence.
- Respond to employee inquiries regarding HR policies, procedures, programs, and general employment-related questions.
- Track and report workforce metrics, including recruitment, vacancies, turnover, leave activity, onboarding, and other workforce trends to support operational planning and decision-making.
- Maintain training records and support training compliance by coordinating employee training schedules and documentation.
- Support the development and implementation of Westerner Park's Volunteer Program, including processes, policies, and procedures.
- Serve as the primary contact for volunteer inquiries, community engagement, and volunteer opportunities.
- Collaborate with departments to assess volunteer needs and coordinate volunteer support.
- Manage volunteer scheduling, including shift postings, assignments, and event coverage.
- Coordinate volunteer committees, meetings, and working groups, ensuring communication, follow-up, and action items are completed.
- Support volunteer onboarding, orientation, and event-day engagement activities.
- Plan and coordinate volunteer recognition initiatives, including the annual Volunteer Banquet and other engagement activities.
- Address volunteer feedback, questions, and concerns in a timely and professional manner.
- Maintain accurate volunteer records and coordinate volunteer satisfaction surveys to support continuous improvement.
- Support volunteer recognition initiatives and grant-related activities.
- Manage the Human Resources and Volunteer email inboxes, ensuring timely responses, appropriate triage, and follow-up.
- Support HR projects, policy updates, and continuous improvement initiatives.
- Provide administrative and operational support across the organization as required.
- Provide workforce support during events and organizational initiatives.
- Perform other related duties as assigned.
What You'll Bring
- Diploma or degree in Human Resources, Business Administration, or a related field.
- CPHR designation or working toward designation is considered an asset.
- 2–3 years of experience in human resources, recruitment, workforce coordination, or a related role.
- Experience using HRIS and applicant tracking systems (e.g., Payworks, Vome) is considered an asset.
- Experience in volunteer coordination, hospitality, events, recreation, or non-profit environments is considered an asset.
- Knowledge of Alberta Employment Standards, applicable employment legislation, and labour relations practices is considered an asset.
- Strong understanding of recruitment, onboarding, and HR best practices.
- Experience supporting leave administration processes.
- Strong organizational, interpersonal, and communication skills.
- Proficiency with Microsoft Office Suite.
- Ability to maintain confidentiality, exercise sound judgment, and handle sensitive information with professionalism.
