Job Description

This Administrator role provides essential on-site administrative support within a manufacturing environment. The position serves as the primary point of contact for site administrative matters, supports plant leadership with reporting and data management, and helps maintain an organized, safe, and compliant workplace. The Administrator also contributes to health, safety, and environmental processes while coordinating day-to-day office operations and internal events.

Responsibilities

  • Serve as the primary point of contact for site administrative items, including maintaining bulletin boards and posting corporate policies and informational materials.
  • Provide first-level customer service to plant visitors, ensuring a professional and welcoming experience and escalating issues when necessary.
  • Process incoming mail, including scanning and forwarding documents to the appropriate internal parties in a timely manner.
  • Coordinate local functions such as holiday celebrations, luncheons, and other on-site events to support employee engagement.
  • Provide clerical and administrative support to local management, including report generation, data entry, and data analysis.
  • Maintain office equipment and supplies, including break room supplies, and procure items through appropriate channels as needed.
  • Review daily hours in the system, working closely with plant management to ensure accurate time and attendance records.
  • Support data entry and record keeping to meet environmental and regulatory requirements, such as air emissions and waste management records.

Essential Skills

  • Proficiency in the Microsoft Office suite, including Word, PowerPoint, and Excel.
  • At least 2 years of administrative experience in a professional setting.
  • Ability to perform accurate data entry and basic data analysis.
  • Strong verbal and interpersonal communication skills, with the ability to present issues clearly, concisely, persuasively, and logically, both orally and in writing.
  • Ability to self-start and take initiative with minimal supervision.
  • Capacity to remain calm and brainstorm solutions under pressure.

Additional Skills & Qualifications

  • Experience with manufacturing processes.
  • Additional language skills beyond English.
  • Business degree or related post-secondary education.
  • Demonstrated adaptability and openness to change, with sensitivity to evolving business needs.
  • Proactive mindset and consistently positive attitude.
  • Ability to collaborate effectively with plant management and cross-functional teams.

Work Environment

This role operates in a manufacturing environment and reports into plant leadership. The Administrator works in a shared office space with approximately four to five colleagues present on a typical day. The facility can be noisy and fast-paced, and the work may involve managing multiple priorities under time pressure. The site is not accessible by public transit, so reliable personal transportation is necessary. The facility processes fiberglass, which results in a strong smell throughout the plant. Standard office technology and equipment are used, including computers, Microsoft Office applications, SharePoint, ERP systems, and tools for HSE documentation such as Velocity. The typical schedule for this position is Monday to Friday from 8:00 a.m. to 4:30 p.m.

The pay range for this position is $22.00 - $25.00/hr.
