Sponsorship Coordinator / Sponsorship Lead – Job Description
The Sponsorship Coordinator will be responsible for supporting and growing sponsorship revenue for the Missing Middle Conference and related events. This role focuses on identifying potential sponsors, building relationships, preparing sponsorship packages, coordinating outreach, and ensuring sponsors receive a strong VIP experience before, during, and after the event.
The ideal candidate is organized, confident in communication, comfortable with outreach, and able to manage sponsor relationships professionally.
Key Responsibilities
Identify and research potential sponsors that align with the event audience and goals.
Create and send sponsorship outreach emails, follow-ups, and introduction messages.
Maintain and update the sponsorship tracker with leads, status updates, next steps, and expected close dates.
Coordinate sponsorship calls, prepare meeting notes, and track action items.
Customize sponsorship packages based on sponsor needs, budget, and event goals.
Work closely with leadership to support sponsor negotiations and close sponsorship commitments.
Ensure sponsors receive proper onboarding, including invoices, logos, booth details, speaking opportunities, tickets, and event instructions.
Coordinate sponsor deliverables such as branding, booth placement, VIP tickets, speaking opportunities, email features, social media mentions, and event-day recognition.
Support sponsor relationship management and ensure each sponsor feels valued and well taken care of.
Assist with post-event sponsor follow-up, thank-you emails, feedback collection, and future sponsorship opportunities.
Skills & Qualifications
Strong written and verbal communication skills.
Professional, friendly, and confident when speaking with potential sponsors.
Highly organized and able to manage multiple leads at once.
Comfortable using Excel, Google Sheets, CRM tools, email, and basic document templates.
Sales, sponsorship, event, investor relations, or business development experience is an asset.
Ability to work with deadlines and follow up consistently.
Strong attention to detail and ability to create a positive client experience.
