The Role
Our client is seeking a Temporary Receptionist / Administrative Assistant to join their collaborative and professional office environment. This role serves as the first point of contact for visitors while providing administrative support across multiple business functions, including operations, finance, marketing, leadership, and project teams.
The successful candidate will play an integral role in keeping the office running efficiently, coordinating day-to-day operations, supporting project documentation, and ensuring a welcoming and organized workplace.
Responsibilities
- Serve as the primary point of contact for visitors, incoming calls, deliveries, and general office inquiries.
- Oversee day-to-day office operations, including facilities, office supplies, equipment, and vendor relationships.
- Coordinate meetings, travel arrangements, and internal team events.
- Maintain organized filing systems, databases, records, and company archives.
- Provide administrative support to leadership and various departments, including operations, finance, marketing, and project teams.
- Assist project teams with document management, contract administration, and project tracking.
- Maintain project records and correspondence, including RFIs, shop drawings, change orders, and related documentation.
- Support permit application processes and help ensure project documentation meets regulatory and compliance requirements.
- Assist with accounts payable and accounts receivable functions as required.
- Contribute to a positive, organized, and collaborative office environment.
Requirements
- Minimum of two years of administrative or office experience, including at least one year supporting accounts payable and accounts receivable.
- Previous experience within the architecture, engineering, construction, or professional services industry is considered an asset.
- Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Excellent attention to detail and a proactive, solutions-oriented approach.
- Strong written and verbal communication skills with exceptional customer service abilities.
- Comfortable working in both Mac and PC environments and able to quickly learn new software and systems.
- Sound judgment, professionalism, and discretion when handling confidential information.
- Ability to work both independently and collaboratively as part of a team.
- Proficiency with Microsoft Office and general office technology is preferred.
