Property Management Administrator — Solutions Property Management (SPM)
Entry Level | Full-Time | Hamilton, ON
The Property Administrator is the operational backbone of our leasing and maintenance functions. This is an entry-level role built for someone who is highly organized, communicates clearly, and thrives in a fast-paced environment. You'll work closely with our property manager, leasing agents, and maintenance team to keep day-to-day operations running smoothly across our portfolio.
Compensation: $50,000 per year

Responsibilities:
Maintenance Coordination
- Receive, log, and triage incoming maintenance requests from tenants
- Schedule and coordinate work orders with our maintenance technician and external trades
- Follow up on open work orders to ensure timely completion
- Update tenants on the status of outstanding repairs
- Maintain accurate maintenance records in our property management software (Buildium)
- ON-CALL SUPPORT IS A REQUIREMENT FOR THIS ROLE (in rotation)
Leasing Support
- Receive showing feedback and updates from leasing agents
- Track unit availability and update listings as needed
- Follow up with prospective tenants on applications and next steps
- Assist with the preparation of lease documents and move-in packages
- Coordinate tenant move-ins and move-outs with the relevant team members
General Administration
- Respond to tenant inquiries by phone and email in a timely, professional manner
- Keep internal systems and records up to date
- Support the property manager with reporting and miscellaneous tasks as needed

What We're Looking For
- Strong organizational skills and attention to detail
- Clear written and verbal communication
- Comfortable working with software tools (experience with Buildium or similar is a plus)
- Ability to manage multiple tasks and prioritize effectively
- Professional, calm demeanor when dealing with tenants and trades
- Prior experience in property management, customer service, or administration is an asset, but not required
Education & Experience
- High school diploma required; post-secondary in business, real estate, or administration is an asset
- 1–2 years of experience in property management, customer service, or administrative support preferred (will consider candidates with no experience if they demonstrate strong organizational skills)

- Professional and calm when dealing with tenants, trades, or difficult situations
- Self-starter who takes ownership of their tasks
- Team player who communicates proactively with agents and the property manager
- Reliable and punctual; this role depends on timely follow-through
Nice to Have
- Familiarity with the Ontario Residential Tenancies Act (RTA)
- Experience coordinating schedules or work orders
- Prior experience in a client-facing or tenant-facing role
