Start Date: Immediate, 11 June onwards
Payrate: $17.50-$18/hr
Schedule: Monday - Friday (weekend availability needed); 9 AM - 5 PM (shifts may be extended; timings are subject to change based on operational needs)

Overview
We are currently hiring a Last Mile Coordinator for a premium automotive dealership located in Enfield, Nova Scotia. This position works closely with the Production Operations team and plays a key role in ensuring vehicles move efficiently through the production and delivery process.

The ideal candidate will support operational coordination between internal teams and external vendors while ensuring sold vehicles are prepared accurately and delivered on schedule.

Responsibilities:

  • Coordinate and monitor the movement of vehicles through various production and preparation stages while ensuring timelines and production targets are consistently met
  • Maintain accurate updates across workflow systems, production trackers, vendor queues, inspection records, and operational spreadsheets to provide clear visibility into daily operations
  • Work closely with internal departments and external vendors to schedule appointments, manage turnaround times, resolve delays, and support smooth day-to-day workflow coordination
  • Prepare and maintain documentation including inspection reports, MVI certificates, work orders, detail checklists, licensing records, and vendor invoices while ensuring all sold vehicle paperwork is completed before delivery
  • Support operational meetings, reporting, follow-up actions, and communication between teams to help maintain production efficiency and identify workflow gaps proactively
  • Assist with administrative coordination, supply inventory management, and cross-departmental operational support during high-volume periods or workflow surges
  • Review vendor costs and invoices for accuracy prior to approval while helping maintain compliance with provincial safety and licensing regulations

Requirements:

  • At least 1 year of experience in administrative, operational, or coordination roles within a professional environment
  • Previous experience in automotive, manufacturing, production, logistics, or project coordination environments is considered an asset
  • Must have valid Class 5 driver's license & own vehicle to commute.
  • Strong organizational, multitasking, and time-management abilities with the capacity to prioritize competing deadlines in a fast-paced setting
  • Excellent communication, documentation, and data-entry accuracy with strong attention to detail and a proactive problem-solving mindset
  • Proficiency with Microsoft Office (Excel, Word, Outlook), Google Workspace, Slack, Airtable, and other workflow or inventory management systems
  • Ability to work flexible full-time hours, including overtime or adjusted schedules based on operational requirements
  • Must be able to pass a criminal background check and provide a clean driver's abstract
