GTA Transmission Repair Corp. is an independent, Canadian, family-run, CAA-approved transmission repair shop serving Toronto since 2014.

We are seeking an Office Administrator to support the daily administrative operations of our shop.

This is a full-time, in-person position with an immediate start date.

About the Role

This position is responsible for the day-to-day administrative functions of the business, including customer communication, scheduling, follow-ups, document management and administrative support.

The successful candidate will work closely with the owners and will be expected to manage many of their daily responsibilities independently.

The successful candidate must be comfortable managing their workload, staying organized, following through on tasks and working with minimal supervision.

This role requires strong attention to detail, initiative, reliability and the ability to learn and retain new processes and software systems.

Training will be provided. During the onboarding period, training sessions may take place on Saturdays and/or Sundays, depending on schedules.

Reliable attendance and punctuality are essential for this role.

Key Responsibilities

  • Welcome customers in person and answer phones professionally
  • Manage customer communication by phone, email and text message
  • Schedule appointments and maintain the shop calendar
  • Follow up on customer inquiries, outstanding quotes and open items
  • Maintain accurate customer records and administrative files
  • Respond to supplier emails and inquiries
  • Process, organize and file invoices, receipts and statements
  • Assist with reports, reconciliations and administrative tracking
  • Print, organize and file inspections, invoices and shop paperwork
  • Maintain digital files using Google Drive, OneDrive and other cloud-based systems
  • Help maintain a clean, organized and professional office environment
  • Support daily administrative operations as required

Qualifications

  • Must be legally entitled to work in Canada
  • Minimum 3 years of administrative experience
  • Experience working in a small business environment is strongly preferred
  • Excellent spoken and written English
  • Strong computer skills
  • Experience with Microsoft Office, Google Workspace and cloud-based software
  • Strong organizational, communication and follow-up skills
  • Ability to learn and retain new processes and software systems
  • Ability to work independently and take initiative
  • Consistent attendance, reliability and punctuality are essential

Assets

  • Experience in an automotive repair shop or service-based business
  • Experience with Dext, AutoLeap, QuickBooks or similar software
  • Portuguese or Spanish language skills
  • Valid Ontario driver's licence
