Job Description
The Payroll Administrator supports the end-to-end payroll process by preparing, validating, and maintaining accurate payroll data in a high-volume, in-house payroll environment. This role works closely with internal partners, uses PeopleSoft and other systems to run queries and reports, and ensures timely and accurate payroll processing while maintaining strict confidentiality. It offers strong learning opportunities, exposure to complex payroll operations, and the potential for extended engagement in a collaborative team setting.
Responsibilities
- Run and manage payroll-related queries in PeopleSoft and associated systems, including extracting data from HR and Oasis and formatting it accurately for payroll processing.
- Assist with payroll processing activities, including data entry, validation, and reconciliation to ensure accurate and timely payroll runs.
- Support employment verifications, electronic filing, and running payroll-related reports, including forms such as T2200.
- Work closely with internal partners and team members to ensure all payroll tasks and deadlines are met.
- Perform data entry tasks accurately and efficiently, including updating employee records and payroll information as needed.
- Handle filing and scanning duties to maintain organized and up-to-date electronic and physical payroll records.
- Open, sort, and process incoming mail related to payroll and employee documentation.
- Provide outstanding customer service to internal stakeholders by responding to payroll inquiries clearly, professionally, and in a timely manner.
- Use Microsoft Excel, including basic formulas, horizontal and vertical lookups, and macros, to manage and analyze payroll data and reports.
- Maintain strict confidentiality of sensitive payroll and employee information at all times.
- Prioritize and manage multiple tasks in a fast-paced, deadline-driven environment while maintaining a strong sense of urgency.
- Collaborate with a team of payroll professionals, contributing to a positive, supportive, and learning-oriented team culture.
- Adapt to changes in processes, systems, and priorities, and support continuous improvement initiatives within the payroll function.
- Perform other payroll and administrative duties as assigned by leadership.
- 1–2 years of knowledge or experience in payroll, including familiarity with core payroll processes and requirements.
- Strong data entry skills with a high level of accuracy and attention to detail.
- Proficiency with Microsoft Office, particularly Word and Excel, including basic formulas and lookups.
- Experience running payroll queries and reports, preferably using PeopleSoft or similar systems.
- Ability to work both independently and as part of a team in a high-pressure, deadline-driven environment.
- Strong written and verbal communication skills, with the ability to communicate clearly and professionally.
- Outstanding customer service skills and a service-oriented mindset when supporting internal stakeholders.
- Strong organizational skills with the ability to prioritize and handle multiple tasks concurrently.
- Demonstrated ability to maintain and protect the confidentiality of sensitive data.
- Action-oriented approach with the ability to take initiative and follow through on tasks.
- Core competencies including relationship building, critical thinking, clear communication, accountability, and the ability to support change and development.
- Post-secondary diploma or degree strongly preferred.
- Experience with a mid- to large-size ERP system is an asset.
- PeopleSoft experience preferred, particularly for payroll processing and reporting.
- Experience with Excel lookups (HLOOKUP and VLOOKUP) and macros is an advantage.
- Familiarity with T2200 forms and related payroll documentation is beneficial.
- French language skills are an asset; candidates may use translation tools to support documentation as needed.
- Sense of urgency and ability to thrive in a fast-paced environment.
- Eagerness and drive to learn, with a strong interest in developing payroll expertise.
- Ability to lead or support change, inspire others, and contribute to a culture of accountability and continuous improvement.
This role is based in an office environment in Mississauga, ON, within a team of approximately nine payroll professionals. The standard work schedule is 40 hours per week, typically from 8:00 a.m. to 5:00 p.m., with some flexibility within core hours as needed. Occasional overtime may be required and is subject to prior written approval. The position follows a hybrid work model: employees work four days in the office and one day from home, with in-office attendance required on Tuesdays, Wednesdays, and Fridays, and the option to choose either Monday or Thursday as the work-from-home day. During the first month, training and development take place on-site for five days per week to ensure strong onboarding and support. The dress code is business casual. The environment is fast-paced and deadline-driven, with an in-house payroll operation that provides broad exposure to payroll processes and systems, including PeopleSoft and Microsoft Office tools. Team members collaborate closely, support each other's development, and benefit from a strong learning culture and the potential for contract extensions based on performance and business needs.
