Office Administrator
Our client is seeking an Office Administrator to oversee reception and front-office operations while ensuring the day-to-day activities of the office run efficiently and smoothly. This role provides administrative support across Finance, Field Operations, and Safety functions, serving as a key point of coordination between office staff, field teams, vendors, and clients. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced construction environment.
Your success will be defined by your ability to:
  • Manage reception and front-office operations, creating a professional and welcoming experience for visitors and callers
  • Coordinate incoming calls, mail, couriers, and general office communications
  • Maintain office supplies, records, and administrative systems to support daily operations
  • Provide administrative support to Finance, Field Operations, and Safety teams
  • Assist with project start-up activities and ongoing project documentation requirements
  • Prepare, maintain, and track contracts, job listings, and operational records
  • Coordinate employee travel arrangements and related logistics
  • Manage maintenance schedules, renewals, and tracking of company tools and equipment
  • Provide documentation and administrative support for field and safety initiatives
  • Collaborate effectively with internal teams, vendors, clients, and external stakeholders
  • Ensure accuracy, organization, and timely completion of administrative tasks in a fast-paced environment
Your strengths include:
  • Minimum 3 years of experience in an administrative or office support role
  • Previous experience within a commercial or industrial construction environment
  • Strong organizational and time management skills with exceptional attention to detail
  • Ability to manage multiple priorities and adapt to changing demands
  • Excellent communication and interpersonal skills with a customer-focused approach
  • Ability to work independently while contributing effectively within a team environment
  • Experience supporting accounting, project administration, or operational functions
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word
  • Strong problem-solving abilities and commitment to maintaining accurate records and documentation
