Job Title: Accounts Receivable Specialist

Job Description

The Accounts Receivable Specialist performs a full range of general bookkeeping and accounts receivable functions, including system data entry, regular account reconciliations, cash receipt recording, and customer invoice distribution. This role focuses on managing collections procedures to ensure receivables are collected in a timely and accurate manner while maintaining strong relationships with internal teams and external customers.

Responsibilities

  • Manage assigned customer accounts and keep balances current through regular, proactive collections procedures.
  • Monitor outstanding receivables and follow up consistently to ensure timely payment of all invoices.
  • Resolve customer account issues related to returns, pricing discrepancies, past-due amounts, and deductions.
  • Process various forms of customer payments, including manual checks, credit card payments, and wire/ACH transactions.
  • Investigate and resolve deposit discrepancies and NSF notifications directly with the bank.
  • Post customer payments accurately to the appropriate company divisions and accounts.
  • Verify eligibility and accuracy of cash discounts and process customer credits or account corrections as required.
  • Generate and distribute monthly customer statements to support timely collections and account clarity.
  • Prepare and deliver month-end accounts receivable reports for management review.
  • Prepare routine bank deposits, ensuring completeness and accuracy of supporting documentation.
  • Maintain accurate records and documentation for all accounts receivable activities in the ERP or accounting system.
  • Collaborate with cross-functional teams to resolve billing, pricing, and account issues promptly.
  • Support continuous improvement of accounts receivable processes to enhance accuracy, efficiency, and customer experience.

Essential Skills

  • 1–2 years of directly related accounts receivable or bookkeeping experience, including collections, following up on outstanding balances, account reconciliations, payment processing, cash posting, and basic bookkeeping processes.
  • Proficiency in accounts receivable processes, including collections and customer follow-up.
  • Experience performing account reconciliations and resolving discrepancies.
  • Strong payment processing skills across checks, credit cards, and wire/ACH transactions.
  • Accurate cash posting and cash receipt recording experience.
  • Intermediate Microsoft Excel skills, including VLOOKUPs and pivot tables.
  • Experience using ERP or accounting systems, such as Sage.
  • Effective communication skills for customer collections and cross-functional coordination.
  • Strong attention to detail, particularly for data entry and high-volume transactions.
  • Ability to ramp up quickly with minimal training and limited onboarding time.
  • Self-starter mindset with strong accountability and work ethic.
  • Dependable, hardworking, and highly organized approach to daily tasks.
  • Willingness to learn, take initiative, and adapt in a fast-paced environment.
  • Commitment to high ethical standards and integrity in handling financial information.

Additional Skills & Qualifications

  • Experience working with multiple business units or divisions.
  • Experience with Sage 500.
  • High school diploma required.
  • Post-secondary coursework in Accounting or Finance is an asset.
  • Experience using Caseware is an asset.
  • Demonstrated ability to maintain clarity and accuracy of information in financial records.
  • Strong sense of pride in the quality and accuracy of work produced.
  • Ability to build positive working relationships with internal teams and customers.
  • Comfort working in a high-volume, deadline-driven environment.
