Invoicing & Fuel Management Clerk
Our client is seeking a detail-oriented and analytical Invoicing & Fuel Management Clerk to join their team. This role is ideal for someone who enjoys working through large volumes of transactional data and performing detailed reconciliations. With a strong focus on invoicing, inventory, and fuel-related reconciliations, and fuel tax reporting, this position plays a critical role in ensuring operational and financial accuracy across the organization. Your success will be defined by your ability to:
  • Prepare and issue accurate customer invoices in a timely manner
  • Reconcile invoicing to fuel deliveries and cardlock transactions
  • Investigate and resolve billing discrepancies and customer inquiries
  • Process and validate high-volume fuel card and cardlock transactions
  • Manage monthly fuel card balancing and account reconciliations
  • Track and reconcile fuel inventory across multiple locations
  • Support inventory adjustments and month-end reconciliations
  • Record and reconcile product purchases, ensuring pricing and quantities are accurate
  • Follow up with vendors and internal teams to resolve discrepancies
  • Assist with fuel tax reporting and maintain accurate records for compliance
  • Support audit requests and maintain organized documentation
  • Collaborate with Operations and Accounting teams to ensure alignment across all records
Your strengths include:
  • Strong attention to detail and a proven ability to reconcile high-volume transactional data
  • 3+ years of experience in invoicing, accounting support, or a similar role
  • Experience in fuel distribution or familiarity with systems such as PetroPlus is an asset
  • Strong proficiency in Microsoft Excel, including functions such as VLOOKUP and Pivot Tables to efficiently analyze, organize, and interpret large data sets
  • Excellent organizational and communication skills
  • A self-starter mindset with the ability to work both independently and collaboratively
  • Adaptability and the ability to thrive in a fast-paced, dynamic environment
