Position Title: Professional Administrator & Bookkeeper

Location: Downtown West-End Toronto: Beautiful Loft Space in Liberty Village

Duration: Full-time

Salary: $60k - $65k

JOB DESCRIPTION

The successful candidate will play a vital role in the management and continual growth of the company by running key office functions including administration and simpler bookkeeping tasks. The successful candidate will work out of a unique, historic, sun-filled loft suite in the downtown west-end Liberty Village neighbourhood.

Bookkeeping Responsibilities

• Industry-leading ERP software use and management for inventory and pricing control (interfaces with QuickBooks Online).
• Invoice creation through ERP software and payment processing.
• Coordinating accounts receivable, including obtaining updated credit card information, processing cheque deposits and receiving e-transfers.
• Processing accounts payable including some bills, credit card and vendor payments in CAD and EUR.
• Handling personal customer and supplier information with attention to privacy and security.
• Receipt management of vendor invoices through Dext App.
• Minor monthly statement reconciliation tasks for quarterly and year-end reporting supported by off-site bookkeeping & accountancy services.

Administration Responsibilities

• Professionally handling local (Ontario) customer correspondence over email, telephone and for in-person order pick-ups.
• Coordination of deliveries and interfacing with courier companies.
• Assist with maintenance of small office (including tasks such as answering calls, database management, ordering supplies, etc.).
• Product ordering through the LCBO Web Application System (placing orders and generating reports) with consistency and accuracy (training provided).
• Some other minor duties as required.

REQUIRED SKILLS

Candidate should be computer savvy with some of the following skills:

• Proficiency with Microsoft Excel: managing spreadsheets, sorting data, creating sales reports, use of arithmetic functions and formulas.
• Experience with QuickBooks Online.
• Comfort working with basic PDF files and forms.
• Comfort using online forms, web applications, email attachments, targeted internet searches, etc.
• Knowledge of standard protocols for protecting customer and supplier personal information.
• High comfort level and adaptability with new technologies.
• Very strong written and verbal communication skills in English.

PREFERRED SKILLS

• Knowledge of French (Italian also useful).
• Familiarity with switching software and/or website creation and maintenance.

QUALIFICATIONS

• As in any small business, candidate must be flexible and proactive in terms of duties.
• Ability to work highly independently and to learn new tasks quickly in a busy office environment.
• A positive, energetic and resourceful attitude.
• Highly professional manner over telephone and email.
• A high degree of tact, discretion and professionalism.
• Must be located in Toronto as this is an in-office role.
