Program Description:

The Guelph CHCis located inthe vibrant city of Guelph, Ontario, and provides primary care services and community health programs using an interdisciplinary, team-based approach. We have innovative client-centered services deliveredthrough the use ofinterdisciplinary teams. Our clinical team consists of family physicians, nurse practitioners, and registered practical nurses, who work collaboratively with Guelph CHC community health workers, including social workers, dietitians, outreach workers, and cultural interpreters.

Reports to Clinic Supervisor, the Health Services Receptionist acts as the primary contact between Guelph CHC clients and Health Care Practitioners. In all ofthe following, the Health Services Receptionistdemonstratesa courteous, professional manner with sensitivity to our diverse client needs, including but not limited to language and literacy.

Principal Job Duties:

  • Schedule client appointments including arranging interpretation services asrequired.
  • Receive/greet visitors andclients
  • Answer incoming calls, direct clients, and process messages.
  • Make outgoing callstoarrangefollow-upappointments; notify clients of upcoming appointments withthe GuelphCHC, contact specialists, provide instructions for tests whenrequired; reschedule appointments; obtain records/reports, etc.
  • Complete referrals and send relevant information to specialists for diagnostic tests; receive incoming informationregardingappointments with specialists via fax/phone and notify clients.
  • Maintainelectronicmedicalrecords
  • Manage and check clinical inbox for directions and tasks from practitioners and completeappropriate follow-up.
  • Provide clerical services, including inputting current client registration, enrollment status for newclients,and updating client demographics.
  • Open and close the clinic and ensure the clinic is wellmaintainedin an orderlyfashionand all pertinent client information is securely locked up at the end of the workday.

Knowledge, Skills, and Abilities:

  • Grade 12 diploma, college diploma or certificate in office, medical, or business administration preferred
  • High proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • At least 1 year experience working with customers and handling a fast-paced office environment, preferably in a health care setting
  • Experience with Electronic Health Records is an asset
  • Strong customer service skills especially as they related to our priority populations
  • Ability to multitask and work independently
  • Effective written and oral communication skills
  • Effective time management, decisionmakingand organizational skills
  • A goodteam member and supportive of interdisciplinary practice.
  • High levelof confidentiality
  • Work with other staff to implement improvements andefficiency
