Summary:

The Specialist, Business Solutions is responsible for supporting the daytoday operational activities of the Business Solutions department while playing a key role in improving business processes and system performance. This role serves as a primary resource for solutioning business requests, such as solving business problems through technology or process change, identifying opportunities for improvement, implementing enhancements through system configuration, and supporting effective change management.

The Specialist, Business Solutions actively participates in the analysis of operational processes and systems, interprets and documents business requirements, and leverages data insights to drive informed recommendations. This position works to identify and address inefficiencies, support the implementation of workflow improvements, and contribute to initiatives that enhance overall organizational performance. Success in this role requires a proactive approach, strong collaboration with crossfunctional teams, and a commitment to continuous improvement within the Business Solutions function.

The Specialist, Business Solutions reports to the Vice President, Human Resources & Business Solutions.

Required Skills and Abilities:

  • Post-secondary degree or diploma in Business Analysis, Information Systems or a related field; a combination of education and related work experience will be considered.
  • Data analytics related certifications considered an asset.
  • Lean Six Sigma and project management certifications considered an asset.
  • Programming languages considered an asset.
  • 3+ years of experience working with and solutioning the Microsoft 365 Ecosystem is required.
  • Minimum of 2 years of experience in a data analysis related role, with demonstrated skills in information management and handling of large data sets.
  • Background in Business Intelligence (BI) systems is considered an asset.
  • Experience managing third party Information Technology (IT) and software providers.
  • Experience with Yardi software is considered an asset, however the desire to learn and develop the user experience is required.
  • Experience leading or supporting projects using established project management methodologies (Agile, Scrum, Waterfall), particularly in technology or processimprovement environments.
  • Proven understanding of software development methodologies including Waterfall and Agile methodologies.
  • Experience working with requirements tools and issue tracking software (JIRA or similar).
  • Experience working in a Property Management / Real Estate organization with a thorough understanding of real estate fundamentals and capital market trends is considered an asset.
  • Past project/technical experience delivering SMB scale solutions is required.
  • Prior testing and quality assurance experience is required.
  • Experience using CSAT (Customer Satisfaction) for business solutions Ecosystems is considered an asset.
  • Ability to allocate ones time effectively and manage tight deadlines.
  • Excellent verbal and written communication skills, particularly technical writing.
  • Excellent planning and problem-solving skills which utilize data and critical thinking.
  • Effective time management.
  • Ability to establish and maintain effective working relationships within an interdisciplinary team.

Duties and Responsibilities:

Process Analysis & Improvement

  • Reviews new and existing departmental processes (e.g., task services, procedures, policies, training, documentation) to ensure efficiency and quality service.
  • Creates and/or modifies existing business processes for process improvement or to accommodate business, system, or regulatory changes.
  • Develops and maintains processes and procedure manuals for all areas of the business to ensure ongoing consistency and training materials.
  • Participates in and leads workflow processimprovement projects, including recommending changes to management, monitoring postimplementation performance, analyzing data, and preparing reports/dashboards to measure effectiveness.
  • Drives process enhancements and adherence throughout the organization to support workflow and business strategies.
  • Partners with business unit management and IT leaders to design workflowsupported processes that align with both internal and customer goals and objectives.
  • Provides ongoing education and training to end users, collaborating on strategies that serve to enhance usability and understanding of the processes and procedures.
  • Serves as a change management expert during the implementation of new and on-going initiatives.
  • Creates in-house training as required, using in person and online learning sessions geared towards end users of varying skill levels.
  • Other duties as required and assigned.

Solution Design & Requirements

  • Determines whether IT requests can be addressed within the companys standard platform ecosystems (e.g., Microsoft, Yardi) before considering alternative solutions.
  • Oversees the definition and design of functional requirements for proposed solutions.
  • Defines and designs APIs required to integrate other systems into the ecosystems.
  • Develops vision, ideas, and proposals for new solutions, modules, or functions within the ecosystem and/or adjacent systems.

System Configuration & Ecosystem Management

  • Creates roadmaps for the companys standard ecosystems (e.g., Microsoft, Yardi) and presents them annually for funding and resourcing approval.
  • Leads and executes configuration changes within the ecosystems to achieve desired business or technical outcomes.
  • Works closely with the MSP to assist with prioritization of operational issues, upgrades, and security remediations.

Vendor & Stakeholder Management

  • Manages operational relationships with ecosystem vendors, system integrators, consultants, and Managed Service Providers.
  • Ensures timely communication to primary business teams regarding incidents, system impacts, and status updates.

Ongoing Project Requirements:

  • Data Management and Analysis:
    • Leads and coordinates the quarterly Market Beat report, including directing data collection, analyzing findings, drafting narratives, and working collaboratively with Marketing and Brokerage teams to finalize content.
    • Coordinates the endtoend research process, including defining data needs, directing administrative support on how to gather required information, and ensuring all internal and external sources (Agents, corporate teams, thirdparty providers) are leveraged effectively.
    • Provides guidance, instruction, and quality expectations to administrative staff to ensure data is collected accurately, consistently, and on schedule.
    • Maintains and proactively updates internal research databases, ensuring accuracy, completeness, and data integrity across all datasets.
    • Applies technical and analytical skills to evaluate collected data, perform comparative analysis, and prepare insights that support operational, strategic, and marketrelated needs.
  • Yardi Systems Management:
    • Manages the planning, selection, implementation, and administration of the Yardi software.
    • Monitors, and assists in developing department specific success indicators related to the Yardi software, ensuring that each department has what they need to remain accountable in the implementation and usage of the system.
    • Serves as the organizations primary Yardi subject matter expert, supporting all departments in the effective use of the system.
    • Manages core system configuration and maintenance, ensuring Yardi workflows, fields, and modules align with business needs.
    • Troubleshoots issues and provides guidance to end users, acting as the main point of contact for Yardi-related questions and support needs.
    • Ensures data accuracy and integrity within Yardi through regular audits, updates, and governance practices.
    • Coordinates with vendors, and the MSP on upgrades, integrations, and system enhancements as needed.
    • Provides training and documentation to ensure employees understand how to use Yardi tools, features, and processes effectively.
  • Other projects as required.

Financial Responsibilities & Resource Management:

  • Ensures that all resources (time, supplies, equipment) are used in the most effective and efficient ways to support business activities and annual plans.
  • Conducts business in a fiscally responsible manner, considering budget and potential
  • Provides recommendations to the Vice President, Human Resources & Business Solutions on the most efficient use of time, budget, and equipment in order to manage project costs.
