The Opportunity

We are seeking an Office Administrator to be the backbone of our office headquarters in St. Johns, NL. As Office Administrator, you will ensure our office space is organized, functional and always ready for optimal use. Youll ensure our financial records are accurate, organized, and compliant, and play a critical support role by adding value across bookkeeping, payroll, and financial reporting duties. You are eager to learn about the different functional areas of our company, and contribute to a broad range of administrative and operational duties.

Reporting to the Director of Finance & Administration, you proactively solve problems and demonstrate exceptional organization and attention to detail. Your success hinges on your flexibility, adaptability, and enthusiasm for learning.

What You'll Do

  • Maintain the office headquarters as a productive and effective workspace; welcome guests, accept deliveries, and coordinate office operations.
  • Manage full-cycle accounts payable (AP), including vendor setup, invoice processing, and payment runs.
  • Prepare and post accurate journal entries to the general ledger.
  • Maintain and reconcile general ledger accounts, ensuring all transactions are properly recorded.
  • Prepare monthly bank and corporate credit card reconciliations.
  • Process semi-monthly payroll accurately and on time.
  • Assist HR with payroll-related onboarding for new hires.
  • Assist with administrative research coordination activities.
  • Manage inventory and ordering of office and kitchen supplies, lunch catering, snacks, etc.
  • Be a culture champion by role modeling our core values and helping coordinate team events and activities.
  • Assist with academic and policy research; drafting, review, and document control.
  • Coordinate company travel.
  • Provide general administrative and office support to team members as required.
  • Other duties as assigned by your supervisor and/or CEO.


Who You Are

Required Qualifications & Skills:

  • Post-secondary diploma or degree in Business Administration.
  • Experience providing financial and administrative support in a fast-paced environment.
  • Ambitious, creative and striving to make a valuable impact in their community.
  • Experience in managing full-cycle bookkeeping and payroll.
  • Proactive and motivated self starter who consistently seeks to iterate on current processes and build more effective/efficient systems.
  • Solutions focused.
  • Discreet and experienced handling sensitive and/or confidential information.
  • Exceptional verbal and written communication skills.
  • Thrives on helping others succeed and improve.
  • Ability to anticipate needs and develop potential solutions.
  • Highly adept at using technology for efficiency and efficacy, including accounting software (e.g. Quickbooks, Xero, Netsuite), payroll systems, Slack, Google Suite, Asana and others.
  • Have a valid drivers license and access to a reliable vehicle for daily travel purposes.
