Management

Must haves:

  • Experience with Project Management concepts (e.g., project goals, risk, scope, participant roles, planning, cost and quality management).
  • Experience collaborating with various groups to coordinate and lead working group meetings, gather updates and maintain progress reporting, action items, risk management updates, etc.
  • Experience working alongside project and program managers in a highly complex environment with internal and external stakeholders, vendors and partners; while providing updates, escalating where required, identifying risks, and leading project document deliverables.
  • Working knowledge of Ontario personal health information privacy legislation and regulation (i.e. Personal Health Information Protection Act, 2004).
  • Public sector experience, ideally in Canadian healthcare in acute care, primary care and/or community care settings.

Responsibilities:

  • Conduct requirements gathering, develop documentation, including presentations and briefing notes and conducts partner engagement.
  • Work with different partners and subject matter experts from different backgrounds (clinical, business, and technical).
  • Gain understanding of stakeholders to gather and document requirements.
  • Contribute to the development of DHIEX Program documentation (e.g. meeting materials, briefing notes, dashboards and reporting tools).
  • Contribute to DHIEX program engagement activities.
  • Develop stakeholder engagement plans including identifying priority stakeholders, leading stakeholder consultations and developing and delivering associated communications.
  • Develop and implement change management strategies and associated communications.
  • Develop HIC engagement strategy, including advisory services and evaluation.
  • Act as the champion on standards and interoperability aspects of a specific deliverable.
  • Prepare senior and program management reports and presentations including options, recommendations, implementation plans related to engagement.
  • Assist in the preparation of status reports.
  • Identify problems/issues and escalate as appropriate.
  • Update and maintain the team and/or project site.

Desired Skills:

  • Knowledge and experience with structured clinical documents.
  • Knowledge of Healthcare Information Systems used throughout the province of Ontario.
  • Ability to readily identify, assess and mitigate implementation and adoption issues.
  • Excellent analytical, problem-solving and decision-making skills; verbal and written communication skills; interpersonal and negotiation skills.
  • A team player with a track record for meeting deadlines.

Required Skills:

  • Experience working alongside project and program managers in a highly complex environment with internal and external stakeholders, vendors and partners; while providing updates, escalating where required, identifying risks, and leading project document deliverables.
  • Experience collaborating with various groups to gather updates and maintain progress reporting, action items, risk management updates, etc.
  • Experience working in a professional environment supporting multiple project managers and critical projects.

Requirements

Evaluation Criteria:

  • Demonstrated experience and expertise in leading engagement of large scale, complex, high profile, and high-risk initiatives that may be multi-jurisdictional and/or enterprise wide.: 40 Points
  • Demonstrated experience with effectively communicating and delivering presentations to healthcare stakeholders. This includes experience providing program, portfolio, and/or project reporting to multiple stakeholders (e.g., clinical, technical and vendor audiences).: 40 Points
  • Experience working in the health sector or public sector organizations.: 20 Points

Deliverables Include but not limited to:

DHIEX Stakeholder Engagement and Relationship Management

o Outputs include, but not limited to:

  • Establish and maintain strong relationships with key stakeholders, including Digital Health Asset (DHA) product teams, Data standards team, Conformance testing teams across Ontario Health and external partners.
  • Act as the primary point of contact for engagement activities related to DHIEX initiatives.
  • Ensure alignment between stakeholder needs and program objectives.

o DHIEX Project Management and Coordination support

o Outputs include, but not limited to:

  • Presentation materials and briefing notes
  • Stakeholder requirements documentation
  • DHIEX Program reports, roadmap and inventory of needs
  • Stakeholder engagement and communications plans

o DHIEX Operational Support

o Scope of work includes, but not limited to:

  • Identify recurring and one-time collaboration opportunities and take lead role for secretariat functions to support working groups and committees, focusing on accelerating decision-making in a transparent way.
  • Developing and maintaining program dashboards and other executive reporting tools.
  • Coordinate and develop content for various artifacts that may include awareness materials, newsletters, FAQs and others.
