Job Description

Brief Overview

The Payroll & Benefits Coordinator is responsible for processing all aspects of the company payroll, reconciliations, RRSP and benefits administration. They will administer multiple financial activities related to the payroll, retirement plans, and benefit functions at Clark Construction Management.

Key Functions & Duties

Payroll

  • New employee setup in Jonas & ADP.
  • Update deductions, employer contribution amounts in payroll system.
  • Update employee rate spreadsheet when changes are made and process rate in Jonas.
  • Process bi-weekly salary payroll
  • Process weekly union payroll
  • Manage, review and troubleshoot all timesheets entered into Jonas, ensures all postings are reflected into project costing.
  • Source Deduction, EHT, WSIB, and Union Dues remittances
  • Process salary changes and annual employee bonus payments
  • Be point of contact for all payroll related questions and issues.
  • Ensure accurate union rates are applied and process annual payroll rate changes based on the collective agreement.
  • Develop and maintain current policies and procedures applicable to payroll and benefits.

Retirement & Benefit Administration:

  • Prepare RRSP Reports to Canada Life
  • Download RRSP reports for new hire deductions and employee contribution changes for processing
  • Enroll new hires and terminate exiting employees on the Company Health Benefits Plan
  • Process any employee changes in life events that impact benefits coverage
  • Report employee salary changes to ensure accurate benefit deductions
  • Download monthly reports for review and accuracy of payroll deductions
  • Participate in annual benefit renewals, benefit surveys and market trends

Reconciliations and Reports:

  • Mid-Year and Annual Employee Earnings Reconciliation - ensure accuracy of all deductions and contributions. (ETD, Union Dues, WSIB, EHT, RRSP, Group Benefits)
  • Annual Reconciliation & Processing of T4 Summary and Slips
  • WSIB Annual Return Filings Reconciliation for the Group of Companies
  • EHT Annual Return Reconciliation for the Group of Companies

Other Duties:

  • Remain up to date on Federal & Provincial legislation and advise on changes that impact the business and/ or employees.
  • Prepare ad-hoc reports as needed.
Qualifications

Requirements

Education and Experience Requirements

  • Post-secondary education in Accounting/ Business/ Finance along with 3 years of relevant payroll experience, or an equivalent combination of training and experience.
  • Canadian Payroll Association Certificate
  • Working experience with ADP (Workforce Now)

Knowledge & Skills

  • Working knowledge of audits, income tax forms, health benefits programs, sick pay, union collective agreements, and retirement plans.
  • Ability to maintain a high level of confidentiality.
  • Proficient knowledge in Microsoft office products including Excel, Word, Outlook
  • Must be self-motivated, able to work with minimal supervision.
  • Excellent communication skills, strong customer service orientation and a positive team attitude
  • Adaptable and flexible in a continuous changing work environment
  • Sound analytical thinking, planning, prioritization, and execution skills
  • Strong problem identification and problem resolution skills
  • Effective attention to detail and a high degree of accuracy
