ABOUT THE ROLE
Larlyn Property Management Ltd. is seeking a highly accomplished and strategic professional to join our growing team as Administrative Manager, Yardi Systems & Operations Property Management. This pivotal leadership role is responsible for driving operational excellence, elevating team capability, and maximizing Yardi system performance across the organization.
As a senior member of the administration team, you will work closely with company executives to lead, coach, and transform an established group of property administrative professionals toward a new direction focused on accountability, efficiency, and client satisfaction.
KEY RESPONSIBILITIES
Leadership & Team Management
- Provide strong direction, mentorship, and training to, Property Administrator staff to align performance with corporate goals.
- Champion a culture of continuous learning, collaboration, and service excellence.
- Manage performance, set measurable objectives, and develop staff through coaching, shadowing, and professional development programs.
- Partner with company executives, managers to implement strategic initiatives across operations and client service functions.
Yardi Systems Expertise
- Act as the companys Yardi specialist, leading optimization, training, and data integrity efforts across all departments.
- Identify workflow enhancements and coordinate system-based solutions that improve accuracy, speed, and visibility.
- Serve as the internal subject matter expert for Yardi modules
- Collaborates with IT and Finance while maintaining administrative ownership of Yardi setup, configuration standards, and process documentation.
Operational Oversight & Project Management
- Lead process improvement initiatives and system-based projects across multiple portfolios.
- Owns administrative deliverables and ensures deadlines and quality standards are met across assigned portfolios
- Oversee new property transitions, operational audits, and compliance reviews.
- Standardize administrative and financial workflows across regions for consistency and compliance.
- Manage timelines, deliverables, and resources for key corporate initiatives.
- Drive cross-functional initiatives improving data flow between Property Management, Accounting, and Admin functions.
- Implement efficiency measures that strengthen service delivery and communication flow.
Financial & Property Management
- Provide oversight into property financials including budget preparation, variance analysis, and capital planning.
- Collaborate with Property Managers and Regional Directors to ensure accuracy of client reporting and financial submissions.
- Partner with Regional Directors and Property Managers to monitor profitability and cost control.
- Oversee the setup and administration of new contracts and property transitions.
Client Relations & Service Excellence
- Build strong relationships with internal and external stakeholders, including executives, Boards, and property owners.
- Ensure a proactive customer service culture addressing client concerns with urgency, professionalism, and empathy
- Address escalated issues professionally, developing long-term solutions to improve client satisfaction.
- Represent Larlyn at client and industry meetings, presentations, and events as required.
KEY DELIVERABLES
- Reduce administrative turnaround times through workflow standardization.
- Enhance Yardi reporting accuracy and staff proficiency through structured training.
- Improve client satisfaction and internal response times by implementing clear service metrics.
MINIMUM REQUIREMENTS
- Post-secondary degree or diploma in Business, Accounting, Property Management, or a related field.
- 57 years of progressive experience in property management operations, including 5+ years in a managerial role.
- Advanced-level knowledge and hands-on experience with Yardi Voyager.
- Strong understanding/background of accounting principles, financial reporting, and property management systems.
- Proven leadership and coaching skills experience managing teams of 5+ direct reports preferred.
- Excellent organizational, analytical, and communication skills with a solutions-driven mindset.
- Knowledge of relevant Ontario legislation, including the Condominium Act and Residential Tenancies Act.
- Designations such as RCM, CPM, or PMP considered an asset.
WORKING CONDITIONS
Business hours are 9:00 a.m. to 5:00 p.m., Monday to Friday. As a management role, occasional evenings and weekends may be required to meet business needs and project deadlines.
