The Opportunity
The Administrative Supervisor is responsible for the coordination, support, and supervision of supply staff, while overseeing key administrative functions within the Child Care Department. This role provides daily guidance and leadership to ensure high-quality care, consistency, and compliance across all programs. Additionally, the Administrative Supervisor maintains efficient administrative systems that support program operations, staffing, and effective communication between teams, families, and management.
Responsibilities
Operational Support
- Coordinate and schedule supply staff to ensure consistent coverage and smooth program operations, using the Sling app/Dayforce with detailed notes, and approve all shifts by the end of each working day.
- Assist in daily operations, including staff placement, schedule management, and maintaining appropriate staff-to-child ratios.
- Communicate operational needs and updates between staff, management, and families, and support the implementation of organizational policies and procedures across all child care programs.
- Support department hiring needs by selecting candidates for phone screens, participating in interviews, and planning hiring for summer, afterschool, and new opportunities in coordination with People & Culture and Hiring Managers.
Educator Support
- Provide on-site supervision, mentorship, and guidance to supply educators. This includes scheduling on-the-floor training days with Mentor Educators for each new staff member in all roles before they begin accepting shifts.
- Facilitate orientation and onboarding for new and supply staff to ensure understanding of roles, expectations, and safety procedures.
- Plan, support, and track professional development hours for supply staff in coordination with Child Care Managers.
- Offer constructive feedback and ongoing coaching to promote quality programming and professional growth, including holding monthly staff meetings and providing monthly check-ins with each supply staff member.
- Foster a positive and inclusive work environment that encourages teamwork and collaboration.
Administrative Support
- Maintain accurate staff records, attendance logs, and schedules for supply staff in accordance with organizational and licensing requirements.
- Assist with compliance tracking, staff certifications, and regulatory documentation for the department.
- Review and edit internal waitlists and schedule volunteers/co-op students throughout the department.
- Manage license renewal applications and coordinate program planning, including filling spaces and responding to calls/emails for the Child Care Department in coordination with Supervisors.
- Coordinate Day Camp bus schedules, book and communicate department trainings, and keep records of educator experience and professional learning hours.
Skills and Qualifications
- ECE Certificate or Bachelor of Education.
- Minimum 2 years of experience in Child Care, After School, or Youth programs.
- Flexible regarding assigned working hours, including split shifts and multiple site locations.
- Proficient in Microsoft Office, including Excel, and computer literate in Windows environments.
- Strong work ethic, organizational skills, and interpersonal communication skills (written and verbal).
- Team-oriented with the ability to share and receive feedback effectively.
- Experience in recruitment, hiring, performance management, and staff training is an asset.
- Experience in developing and managing a budget is considered an asset.
- Employment contingent on a clean Criminal Record Check with Vulnerable Sector Search.
- Current First Aid and CPR certification

- Competitive Compensation: Ranging between $48,000 - $65,000 annually.
