Our Distribution group is currently looking to add an Field Operations Administrator to our team, based in Sherwood Park, AB.

Reporting to the Area Manager, this is an entry level administrative professional position providing support to our Logistics, Traffic, and Hydrovac divisions. This role ensures accurate time entry, efficient job tracking, timely invoicing, and effective communication between field operations, management, and clients. It also assists with office administration, reporting, and compliance documentation to keep all divisions operating smoothly.

Duties and Responsibilities:

  • Provide the Logistics, Traffic, and Hydrovac divisions with general administrative and operational support as required
  • Enter and verify employee time; follow up on missed or incorrect entries
  • Assist with time entry, payroll follow-up, and verification of FA submissions
  • Coordinate with managers for invoice approvals and ensure accurate posting and document retention
  • Prepare and issue a high volume of invoices (400+ monthly) using Excel / JDE and client portals (e.g. Ariba, Oracle)
  • Follow up on missed or late payments
  • Prepare month-end accruals and WIP summaries for accounting
  • Investigate discrepancies where costs exist without invoicing and make necessary corrections
  • Maintain Work-In-Progress (WIP) files for active projects
  • Maintain updated client rate sheets, set up new job numbers, work orders, and invoice templates in JDE
  • Maintain and organize files for field activities
  • Create and track work orders, ensuring timely job completion and accurate cost reporting
  • Prepare and process client invoices, obtain approvals, post, and distribute
  • Monitor and follow up on unpaid invoices
  • Develop and maintain spreadsheets to track equipment utilization
  • Provide regular reporting to the Safety team and management for key contracts
  • Manage onboarding requests and document compliance submissions
  • Maintain client relationships and ensure consistent communication and accuracy in service documentation
  • Manage and maintain water fill site records
  • Order and maintain office supplies for the Sherwood Park office
  • Answer incoming phone calls and direct inquiries appropriately
  • Plan and coordinate office events and functions

Requirements

  • High School Diploma (or equivalent)
  • 2 years of administrative experience supporting operations
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook)
  • Excellent attention to detail, accuracy, and organizational skills
  • Strong communication skills and ability to manage multiple priorities

Preferred Skills / Qualifications

  • Post-Secondary Education in a related field
  • Demonstrated experience supporting projects
  • Experience with an ERP system (JDE)
