A Service Appointment Coordinator/Junior Advisor is the Service Departments first point of contact with customers and possess excellent communication and multitasking skills, and a positive attitude. They are highly motivated and responsible for effectively creating appointments for our service department.
Job Duties:
- Ensure all service department telephone calls are answered promptly, courteously, and professionally, directing to appropriate team members.
- Book & Confirm Service Appointments
- Coordinate Service Department appointment schedule.
- Assist with preparing repair orders by documenting customer concerns clearly and accurately.
- Provide status updates to customers throughout the repair process, ensuring expectations are set and met.
- Review repair orders with customers at pickup, highlighting completed work & future maintenance needs.
- Perform outgoing calls to book special order parts or recall part installation.
- Works closely with the Service Advisors and Technicians to support efficient workflow and timely service delivery.
- Support Service Advisors by obtaining approvals for additional work and updating customers on timelines.
- Greet walk-in customers and assist them as required.
- Call customers for oil change, and general maintenance reminders.
- Maintain an organized work space.
- Data entry as required.
- General filing as required.
- Must maintain a professional appearance.
- Follow all company safety policies & procedures.
- Additional duties as required.
Successful Candidates Possess:
- 1-3 years relevant experience.
- Basic knowledge of vehicles and associated parts.
- Professional phone etiquette.
- Good organizational skills.
- Outgoing, friendly personality.
- Problem solving skills.
- Effective verbal and listening communication skills.
- Strong computer skills.
- Ability to multi-task and have effective time management skills.
- CDK experience an asset.
- Must be willing to submit a background check prior to employment.
