Our Operations group is currently looking to add a Fleet Support Coordinator to our growing team, based in Winnipeg (Headingley), MB.
Reporting to the Manager, Fleet Support Services, we are seeking a strong administrative professional to support the operational and administrative functions of the Fleet Department. The Fleet Coordinator is responsible for maintaining a safe, reliable, and well-documented fleet across Canadian and U.S. jurisdictions, and provides direct support to Fleet Operations & Maintenance, Regulatory Compliance & Reporting as well as provides Administrative & Employee Support. This position ensures the implementation of cost-effective asset management strategies, regulatory compliance, and smooth day-to-day operations.
Duties and Responsibilities- Manage vehicle licensing and renewals
- Maintain and update unit binders and inventory databases for vehicles and equipment
- Support Truckers Time Entry system and ensure accurate records
- Manage licensing and registration processes for Canadian and U.S. entities
- Oversee IFTA tax reporting and license renewals
- Coordinate Safety Fitness Certificate renewals
- Manage various annual trucking permits
- Process purchase orders (Traker) and submit to Accounts Payable
- Assist employees with system access and troubleshooting
- Prepare and submit expense reports
- Order and manage fuel cards, including issue resolution
- Make travel arrangements for staff when required
- May assist with ordering parts and supplies for Heavy Duty Technicians
- Could require troubleshooting and diagnostics manual lookups
- Track unit numbers, drivers, maintenance work orders, and inspection schedules using Excel
- May need to schedule and track NDT/CVIP inspections with appropriate suppliers
Requirements
- Grade 12 diploma (or equivalent)
- 2 years' experience supporting operational and administrative functions
- Demonstrated experience in fleet maintenance and asset management
- An acceptable combination of education and experience may be considered
- Familiarity with fleet management systems and regulatory compliance
- Proficiency in Microsoft Office (Excel, Word) and other relevant software
