Who We Are
The College of Complementary Health Professionals of BC (CCHPBC, or the College) is located on the traditional, ancestral, and unceded lands of the xmkym (Musqueam), Swxw7mesh (Squamish), and slilwta (Tsleil-Waututh) Nations. The College regulates over 12,000 health professionals, including chiropractors, massage therapists, naturopathic physicians, traditional Chinese medicine practitioners, and acupuncturists across British Columbia.


Formed on June 28, 2024, through the amalgamation of four provincial health profession regulators, the College was established as part of the Ministry of Healths initiative to modernize the health profession regulatory framework in B.C. Its primary role is to protect public health and safety by licensing and regulating health professionals and the settings in which they practice. This includes ensuring that every health professional within its purview is fully qualified to provide safe and ethical care.


Position Summary
We are seeking a full-time, temporary (4 month contract) Administrative Associate, Licensure, to provide administrative and clerical support to ensure the smooth operations of the Colleges licensing processes. The temporary Administrative Associate supports a wide variety of administrative functions and licensure-related tasks, serving applicants on licensing matters that extends from their entry-to-practice to leaving their practice. The work tasks can involve reviewing, processing, and tracking licensure applications, providing administrative support for Committee and panel meetings, and for examination administration. This role also supports other functions within the College and is a back up for general administrative duties.


It is essential for all College staff to contribute to a team approach with a public protection focus, delivering efficient services that align with and allow the College to meet its regulatory, strategic, and operational goals.


The Licensure Function is organized into two teams the Entry-to-Practice Team and the Registration (Licensing) Team. Staff in this position will be assigned to one of the teams according to the organizational needs but can be assigned to work on projects and tasks with the other team as both teams belong to the same ONE Licensure Team.


The Colleges office is located in downtown Vancouver. While staff currently work in ahybrid schedule with scheduled in-office team days, staff can expect to be required to attend to theoffice based on the organizations needs including being required to work fully in-office.


Duties and Responsibilities
Provides timely, accurate and courteous responses regarding licensure processesand policies to applicants, registrants, the public and other regulators throughmail, fax, phone and email, while having the ability to forward more specific typesof inquiries to coordinators / managers as appropriate.
Assists registrants with licensure processes with a knowledge of the requirementsand acceptable supporting documents for various types of licensure applications.
Supports the processing of applications for licensure; ensuring all documentationand fees have been received.
Supports entry to practice related tasks such as exam administration andapplication processing.
Coordinates and manages applicant and registrant criminal record checks asrequired by legislation.
Provides support for the Registration (License and/or Permit) Committee and panels including facilitating meeting logistics, preparing and disseminatingdocuments.
Updates and maintains registrant information in the Colleges recordmanagement systems (both physical and digital databases).
Assists with the registration and annual renewal of Health ProfessionsCorporation Permits, ensuring compliance with the Health Professions Act and/orHealth Professions and Occupations Act
Attends to in-office administrative duties which include meeting walk-in visitors,processing incoming and outgoing mail.
Assists in sending out correspondences to applicants, registrants, or otherexternal stakeholders for the licensure team.
Provides database reporting regarding licensure for the licensure team andCollege leadership as requested.
Other duties as assigned by the Manager.
Qualifications and Skills
Two years experience in administration work; experience in health regulation or asimilar field is an asset.
Strong customer service skills and excellent oral and written communication.
Experience working with registrant / licensee management application system(Specific knowledge of the Alinity Registrant Management Application System isa plus.)
Tech savvy with excellent working knowledge of computers and softwareapplications, including cloud computing systems, Microsoft Office suite, andmeeting scheduling software.
Maintain confidentiality and discretion of information received while performingwork functions.
