The Katzie Health and Community Centre is seeking a compassionate and organizedMedical Office Assistant (MOA)to join our team.

As the first point of contact for community members, visitors, and staff, youll play a vital role in creating a welcoming environment rooted inrespect, inclusivity, and cultural safety. Reporting to the Health Services Clinical Manager, youll manage a range ofadministrative and clerical responsibilitiesthat ensure the smooth operation of our health services, while making a meaningful impact on the overall wellness of the Katzie community.

What You'll Do:

  • Greet patients and visitors in a warm, respectful, and culturally safe manner.
  • Answer phone calls and respond to inquiries with professionalism and empathy.
  • Register patients and verify personal and medical information.
  • Schedule appointments and manage cancellations or rescheduling.
  • Maintain the calendar for booking health services appointments and manage all appointments in a precise and effective manner.
  • Assist patients in navigating health services, including traditional healing and wellness programs.
  • Book medical transportation while maintaining program records and preparing the required monthly report.
  • Maintain accurate and confidential patient records.
  • Prepare and process medical documents, referrals, and correspondence.
  • Liaise with healthcare providers to ensure timely communication and follow-up.
  • Support clinic operations including filing, scanning, and data entry.
  • Prepare examination rooms and ensure cleanliness and readiness.
  • Assist with patient flow and coordination during clinic hours.
  • Order and maintain office supplies and inventory.
  • Ensure electronic equipment is maintained and in working order.
  • Set up the boardroom for meetings and ensure cleanup as requested.
  • Maintain the staff kitchen.
  • Order weekly supplies of snacks for staff as needed.
  • Record temperatures of all Community Kitchen refrigerators and freezers twice daily.
  • Responsible for housekeeping duties as required.
  • Operate as part of a team and be flexible about the boundaries and functions of the job.

What you bring to Katzie:

  • Knowledge gained through Medical Office Assistant Certification or a related field, or two years of relevant, progressive work experience. An equivalent combination of education, work or comparable lived experience will be considered.
  • Ability to work with high confidentiality and superior attention to detail.
  • Excellent computer skills with considerable knowledge of Microsoft Office, specifically MS Word and
  • Well-developed interpersonal and communication skills, both oral and written.
  • Excellent problem-solving skills and demonstrated ability to work both independently and as a team member to achieve desired results.
  • Exceptional organizational, time management, and prioritization skills
  • Flexibility and the ability to adapt to rapidly changing work priorities, ensuring prioritizing and completing tasks on time.
  • Demonstrated genuine respect for Katzie First Nations culture and protocols.
  • Experience working with First Nations communities is an asset.
  • Basic First Aid Certification
  • Valid Class 5 Drivers is an asset
  • Satisfactory Criminal Record Check (vulnerable sector)
