Role & Responsibilities
We are currently seeking a detail-oriented File Administrator to join our team. This is a great opportunity for individuals with strong organizational skills who are interested in supporting global engineering projects. The ideal candidate will arrive at EMS-Tech Inc. with a proactive attitude and willingness to learn new things.
Here are some of the things youll be working on:
- Work primarily with the procurement team and directly in support of project execution and quality to provide file management support.
- Process supplier documentation such as drawings, quality control documents, schedules, progress reports, test reports, factory inspection reports, manuals, packing lists, proof of deliveries, correspondence (as applicable) and tracking lists, that are submitted by, and exchanged with, vendors during execution of purchase orders.
- Assist Buyers with the receipt and shipping of parts received at the office.
- Assist more senior personnel on tasks such as overhead purchase orders , maintaining the vendor management program (including onboarding & tracking vendor documentation), and other duties as required in contribution to project success.
- Ensure all documents are managed and circulated according to company Document Control processes and utilizing approved software.
- Flexibility to take on additional tasks as assigned by the supervisor.
- Perform all duties in accordance with applicable Quality Management System (QMS) policies, procedures, and work instructions.
Qualifications
- Completion of a Business or Office Administration Diploma is an asset.
- 1-3 years administrative experience.
- Strong computer knowledge- ability to use Microsoft Excel, Word, PowerPoint, Adobe Acrobat or Blue Beam with the capability to learn new software as needed.
- Strong oral and written communication skills with the ability to effectively interact with international suppliers, and project team members.
- Fine-tuned organizational skills with a keen attention to detail.
- Demonstrated ability to work independently and efficiently. Ability to prioritise and reprioritize throughout the day/week as fast past environment needs adjust
- Ability to follow instructions and exercise judgement and initiative.
- Willingness to perform repetitive tasks in support of file management workflows.
