Executive Assistant - Temporary Full Time
The Town of Tillsonburg is looking to hire a temporary full-time Executive Assistant who will be responsible for organizing, planning and providing a broad range of administrative services to support the CAO, Mayor and Council. Answers inquiries from staff, Council and the general public on Town activities. This position requires a high degree of confidentiality.
This is a temporary full-time position with an option to enroll in OMERS defined pension plan.

End Date: September 2026
Hourly Rate: $38.82 - $45.42/hour

Responsibilities
  • Provides administrative assistant to the Chief Administrative Officer.
  • Provides support and assistance to the Mayor`s office and Council as required.
  • Acts as an election assistant (Assistant Returning officer) with municipal elections under direction of the Clerk.
  • Arranges for the legal appointment of commissioners of oaths and deputy registrars.
  • Prepares SLT and management agendas and minutes and co-ordinates follow- up of any matters that have been identified by the team.
  • Assists with the planning and co-ordination of special event functions such as employee Long Service Awards, official openings, inauguration of council, and announcements as required.
  • Acts as Town Liaison for various Council Advisory Committees and provides legislative support for those advisory committees in which the CAO is a part of including the preparation of agendas, minutes and recommendation reports to Council.
  • Maintains up to date knowledge of government legislation as it relates to the Town for the purpose of communicating with various committee members and the public.
  • Maintains web site for CAO's Office and assists other department managers to update web site information.
  • Maintains working knowledge of organizational initiatives and projects.
  • Research, compose and prepare reports and correspondence as required.
  • Responsible payment of conference fees, hotel reservations, etc. using corporate credit card.
  • Schedules conferences and seminars attended by Town staff and Council, including registrations and reservations.
  • Coordination and assistance with implementation of the Community Strategic Plan
  • Responds to a variety of inquiries, giving out information, resolving issues and turning negative situations into positive ones.
  • Adheres to all policies and procedures for the Town.
  • Performs other duties as assigned by CAO.
  • Performs backup support for other administrative functions.
  • Aware of safe work practices relating to job responsibilities and have basic understanding of the Occupational Health & Safety Act as it relates to the work environment.
Qualifications
  • Completion of a program from a community college in office or business administration or equivalent.
  • Two years of related experience.
  • Completion of the Municipal Administration Program, Municipal Diploma Program or equivalent preferred.
  • Working knowledge of records management.
  • General knowledge of how to access municipal information and legislation (Municipal Act, zoning, planning, bylaws, etc.) to assists the public in obtaining up to date information they require.
  • Knowledge of website maintenance.
  • Good working understanding of Town policies, bylaws and access to information guidelines.
  • Proficient in data processing including experience in a Windows operating system environment and Microsoft Office.
  • Demonstrated initiative in finding innovative and efficient means of completing position responsibilities.
  • Excellent organizational skills.
  • Excellent communication skills for contact with the public, a variety of professionals, employees, and government agencies.
  • Excellent customer service skills.
