Who You Are:

We are currently seeking an experienced Paralegal or Senior Legal Administrative Assistant
to join our team. This role requires a proactive, detail-oriented professional with deep expertise in litigation and a strong ability to work independently. Your responsibilities extend beyond traditional litigation support and require a high degree of attention to detail, organization, communication, and legal acumen. You excel in fast-paced environments, have a solutions-focused mindset, and value collaboration. As a key member of the team, you will play a vital role in delivering exceptional legal support to our clients, managing essential tasks such as drafting correspondence, preparing legal documents, and effectively handling client communications. Your experience and proactive approach will contribute significantly to our mission of providing top-tier legal service.

Key Responsibilities

As a trusted member of the legal team, you will provide skilled and client-focused support in estate administration, estate planning, and related litigation matters, ensuring accuracy, efficiency, and compliance at every stage. Your role will involve:

Estate Administration

  • Leading the preparation of probate and estate administration applications
  • Alongside counsel, managing all aspects of estate administration, including gathering assets, paying debts, and distributing assets to beneficiaries.
  • Assisting counsel in Investigating and documenting claims of undue influence or lack of capacity related to wills or other estate planning documents.
  • Overseeing estate distributions, including preparing consents, releases, executors accounts, and trust accounting documentation.

Estate Litigation: Legal Drafting& Court Procedure

  • Drafting legal documents and precedents with minimal supervision, including pleadings, agreements, financial statements, affidavits, application records, notices to admit, bills of costs, and case summary proposals.
  • Preparing court filings, land title documents, and related correspondence in compliance with court rules and procedures.
  • Filing legal documents with the court, ensuring accuracy and timeliness.
  • Preparing for trials, mediations, arbitrations, discoveries, and applications, including assembling trial records, coordinating witnesses, and managing related logistics.
  • Preparing memoranda, summaries, and reports to support case strategies.

Client Service & Relationship Management

  • Acting as a key point of contact for clients, providing clear, timely, and professional communication.
  • Scheduling and coordinating client meetings, court appearances, discoveries, mediations, and other key events.
  • Maintaining positive, professional relationships with clients, counsel, court personnel, and other stakeholders.

File & Practice Management

  • Organizing and managing case files and calendars, maintaining deadlines, and tracking critical dates.
  • Excelling in all tools offered by Filevine, including initiating and managing documentation and correspondence on files.
  • Coordinating and reviewing required searches (e.g., Wills Registry, Land Title).
  • Handling document production, cheque deposits, invoice payments, mail distribution, and scanning.
  • Preparing, editing, proofreading, and filing legal documents and correspondence.
  • Recording billable time and preparing and proofreading invoices to clients.

Team Collaboration & Leadership

  • Coaching, training, and mentoring Legal Administrative Assistants and Articling Students on legal procedures and firm standards.
  • Supporting the team with vacation coverage and workload balancing.
  • Contributing to a positive, inclusive, and collaborative team culture.
  • Upholding ethical and professional standards while demonstrating flexibility, dependability, and a proactive approach to problem-solving.

Qualifications & Skills

  • Minimum 5 years of experience as a Paralegal or Legal Administrative Assistant, including experience in estate litigation or general civil litigation.
  • Completion of an accredited Paralegal or Legal Administrative Assistant Certification program is required although experience-based training will be considered
  • Advanced knowledge of procedural law and legal documentation, including e-filing and relevant court rules and regulations.
  • Strong drafting ability and independent judgment in legal document preparation.
  • Proven track record of billable time recovery and strong attention to deadlines.
  • Proficient in Microsoft Office, Excel, Outlook, and legal practice software. Experience with Filevine is an asset.
  • Strong written and verbal communication skills: professional, empathetic, and client focused.
  • Excellent time management and organizational skills, with the ability to prioritize tasks in a fast-paced environment.
  • High level of integrity, discretion, and professionalism in handling confidential information.
  • Positive, proactive team player with a collaborative and solutions-focused mindset.
