As the organization evolves, they are seeking a highly organized and proactive Executive Assistant to support the President and executive team.
This is a key opportunity for a dynamic administrative professional who thrives in a fast-paced, high-responsibility environment. The Executive Assistant will serve as the primary support to the President, acting as a liaison with internal and external stakeholders, and managing a wide range of executive-level administrative duties. The ideal candidate will demonstrate sound judgment, discretion, and a collaborative approach.
What you'll be doing:
Provide direct administrative support to the President and executive team
Manage executive calendars, travel arrangements, meeting coordination, and logistics
Prepare and review documents, reports, correspondence, and presentations for executive use
Oversee and maintain the corporate strategic plan and travel policy
Coordinate internal and external meetings, workshops, and events
Screen communications and prioritize correspondence for the President
Track and manage sponsorships, donation requests, escalated customer issues, and key follow-ups
Record meeting agendas, minutes, and action items with clarity and precision
Maintain digital and physical filing systems, including supplier agreements and contracts
Conduct background research and prepare executive briefing materials
Support with personal scheduling and planning for the President as needed
What we are looking for:
Post-secondary diploma in Business Administration or related field
5–7 years of experience in an Executive Assistant or senior administrative role
Proven ability to manage complex calendars, high-priority communications, and confidential matters
Exceptional organizational and time management skills with a high attention to detail
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Strong written and verbal communication skills
Professional, resourceful, and flexible with a proactive mindset
