We're looking for a high-detail, process-driven operator to run the engine room of a top-ranked Toronto real estate team. You'll manage every listing-to-close checklist, keep our compliance bulletproof, and fully own the systems that make our growing team run smoothly.
This is the foundation seat for the next phase of our business.

Applicants must be located within a 30-minute drive from 1 East Mall Crescent, Etobicoke, ON, and be able to work in the office. All other applicants will not be considered.
Applicants without real estate operations/admin experience (salespeople do not count) will not be considered.
Compensation:$65,000 - $75,000 yearly
Responsibilities:Operations & Systems
- Maintain and refine SOPs for every process (listings, buyers, closings, etc.)
- Manage CRM (input, tagging, campaigns, data integrity)
- Maintain and develop the Operations Manual and training portal for new team members
- Manage business tools: Asana/Monday, Follow Up Boss, Google Drive organization, bookkeeping, and transaction tracking
Transaction Management & Compliance
- Oversee all contracts from listing to close: draft paperwork, gather signatures, upload to MLS, track deposits, and keep FINTRAC/TRESA files 100% clean
- Follow up with lawyers, co-op agents, and clients to keep deals moving smoothly
Nice to Have
- Coordinate vendors (photographers, stagers, painters, sign installers)
- Create postcards, brochures, feature sheets, and newsletters (templates provided)
- Assist with client appreciation events (venue booking, logistics, invitations)
- Support business planning, take meeting notes, and manage agendas
To be considered, candidates must have/be:
- 3+ years of real estate operations and/or transaction management experience
- Must be located in Etobicoke, ON, and able to work in the office
- Access to a reliable vehicle
- Track record of creating and implementing systems
- Detail-oriented, organized, and efficient
- Strong prioritization skills
- Tech-savvy
