We're looking for a high‑detail, process‑driven operator to run the engine room of a top‑ranked Toronto real estate team. You'll manage every listing‑to‑close checklist, keep our compliance bulletproof, and fully own the systems that make our growing team run smoothly.
This is not a coffee and copies role, it's the foundation seat for the next phase of our business.

$65,000 - $75,000 yearly
Responsibilities:Operations & Systems
- Maintain and refine SOPs for every process (listings, buyers, marketing, closings, etc).
- Manage CRM (input, tagging, campaigns, data integrity).
- Maintain and develop the Operations Manual and training portal for new team members.
- Manage business tools: Asana/Monday, Follow Up Boss, Google Drive organization, bookkeeping, and transaction tracking.
Transactions & Compliance
- Oversee all contracts from listing to close: draft paperwork, gather signatures, upload to MLS, track deposits, and keep FINTRAC/TRESA files 100% clean.
- Follow up daily with lawyers, co‑op agents, and clients to keep deals moving.
Listings & Marketing Support
- Coordinate Vendors (e.g., photographers, stagers, painters, and sign installers)
- Postcards, brochures, feature sheets, and newsletters (templates provided).
- Keep marketing materials and supplies organized.
Business Development
- Plan and execute client appreciation events: venue booking, logistics, invitations, and communications.
- Handle recruitment: interview, onboard, and train new operations hires
- Oversee business planning, take meeting notes, and manage agendas.
Other duties as required
Qualifications:To be considered, candidates must have/be:
- 3+ years of experience in Real Estate Operations and/or Transactions
- Track record of creating and implementing systems
- Detail-oriented
- Efficient and effective
- Great prioritization skills
- Hyper-organized
- Tech-savvy
- Access to a reliable vehicle
- Able to work from our South Etobicoke office
