Position Title: Private Secretary

Job Summary:

The High Commission for the Federation of St. Kitts and Nevis to Canada invites applications from suitably qualified candidates for the position of Private Secretary.

Education and Experience:

(i) Diploma or first degree in Secretarial/Administration from a recognized institution.

(ii) Knowledge and experience of relevant software applications (e.g. MS Office Suite: spreadsheets, word- processing, and database management, required typing speed.

(iii) Knowledge of business principles, administrative, and clerical procedures.

(iv) Proven experience in producing professional correspondences and documents, both diplomatic and non-diplomatic in nature.

(v) Proven experience in information and communication management.

Language Requirements:

- Excellent command of the English Language (written and spoken) is required, and knowledge of French will be an advantage.

Summary of Functions:

(i) Serve as the Private Secretary to the High Commissioner

(ii) Prepare and manage correspondence, handle incoming mail and other material,

(iii) Organize and coordinate meetings, receptions, conferences, and travel arrangements,

(iv) Maintain office systems, schedules, calendars and arrange and confirm appointments

(v) Organize internal and external events as requested

(vi) Set up and maintain filing systems, work procedures, and databases,

(vii) Respond to face to face and telephone enquiries

(viii) Liaise with internal and external contacts in a professional manner,

(ix) Coordinate the flow of information both internally and externally,

(x) Operate office equipment and manage the office space

(xi) Perform any other duties related to the day-to-day operation of the High Commission

Competencies:

(i) Ability to work well with other members of staff, solid interpersonal skills, takes initiative, and highly reliable

(ii) Excellent Verbal and written communication skills

(iii) Knowledge of contemporary IT, including word processing, (e.g. MS Office Suite) email, spreadsheet, database, and other accounting tools, including Quick Book.

(iv) Attention to detail, planning & organizing, and time management

(v) High level of confidentiality, tact, discretion, initiative, and sound judgement

(vi) Shares knowledge and experience and provides helpful feedback and advice to others with energy and a positive, constructive attitude

(vii) Analytical skills with detail orientation

(viii) Responds positively to critical feedback and differing points of view.

(ix) Confidential and trustworthy

Salary: Commensurate with experience and on the Government of Saint Kitts and Nevis' established salary scale.
