Location: Woodstock Hospital, Woodstock, ON
Schedule: Monday to Friday, 8:00 AM – 4:30 PM (Fully On-site)
Vaccination Requirement: Must have received at least 2 doses of the COVID-19 vaccine

Position Overview:

Woodstock Hospital is seeking a proactive and detail-oriented Facilities Coordinator to support day-to-day operations of the facilities and maintenance department. This role plays a key part in ensuring the smooth scheduling of maintenance activities, coordinating subcontractor work, and supporting internal teams in maintaining a safe, efficient, and compliant hospital environment.

Key Responsibilities:

  • Coordinate with subcontractors and vendors for routine and emergency maintenance, inspections, and repair work.
  • Assist the in-house maintenance team by scheduling work orders, tracking progress, and ensuring timely completion of tasks.
  • Manage and update maintenance schedules, equipment logs, and service records in coordination with team leads and management.
  • Serve as the main point of contact for incoming maintenance-related requests, ensuring they are logged, prioritized, and addressed efficiently.
  • Utilize Excel, Microsoft Teams, SharePoint, and Outlook to support communication, documentation, and task coordination.
  • Maintain strong organizational systems to track preventative maintenance plans and coordinate contractor site access.
  • Provide administrative support including generating reports, maintaining digital records, and assisting with internal audits and compliance checks.
  • Participate in safety awareness and facility improvement initiatives, ensuring procedures align with hospital policies and standards.

Qualifications:

  • Basic knowledge of maintenance operations, building systems, or facility services preferred
  • Strong interpersonal and communication skills for working with cross-functional teams and external vendors
  • Proficient in Microsoft Excel (beginner to intermediate) and comfortable working with Microsoft Teams, SharePoint, and Outlook
  • Highly organized with excellent time management and the ability to prioritize multiple tasks
  • Self-motivated, detail-oriented, and capable of working independently in a fast-paced healthcare environment
  • Must be fully vaccinated with at least two doses of the COVID-19 vaccine
