UASU InfoLink is a student-led information network dedicated to enriching a students campus experience. We connect students with important academic supports, inform them on student life events and involvement opportunities, and provide general guidance on resources available to students to help them make the most of their time at the University of Alberta.

JOB SUMMARY

Reporting to the Program Lead, InfoLink, the Assistant Program Lead position supports all aspects of InfoLink service delivery including student service provision, staff supervision and support, administration, hiring, training, and service assessment.

InfoLink has six office locations in which the Assistant Program Lead will be expected to be able to assist in addressing in-person, phone, and email inquiries. Our clients include undergraduate and graduate students, University staff and faculty, guests, and alumni. This position focuses heavily on daily administrative tasks, operational efficiency, problem solving and client service.

DUTIES & RESPONSIBILITIES

  1. Support the effective operation of all aspects of the InfoLink service, including:
    1. The reconciliation of all sales and transactions for select InfoLink locations.
    2. Weekly scheduling of student staff.
    3. Oversight of ticket sale partnerships.
    4. Assistance with training development and facilitation for student staff.
    5. Manage, maintain, and provide customer service for InfoLinks online registries.
  2. Oversee all aspects of the U-Pass Program through InfoLink, including:
    1. Providing information about the U-Pass Program, how to acquire Arc Cards, and program troubleshooting.
    2. Scheduling, staffing, and training of distribution event staff.
    3. Sitting on the U-Pass Administration Committee.
    4. Collaborating with stakeholders on issues or projects relating to the U-Pass Program.
  3. Provide front-line customer service and front desk support at the various InfoLink locations, including:
    1. Addressing client concerns and questions related to the University of Alberta campus.
    2. Compiling service statistics, report on service statistics.
    3. Processing payments via cash, debit, credit, or cheque.
    4. Reviewing room and rental item booking requests.
  4. Membership and participation on University and UASU committees, task forces, and working groups as required.
  5. Maintain a working knowledge of the University of Alberta/UASU policies, procedures, and services.
  6. Responsible for the maintenance of comprehensive reference materials.
  7. Acting as a point of contact for student staff when InfoLink Program Lead is out of office or away.
  8. Other duties as assigned by the InfoLink Program Lead.

QUALIFICATIONS

  1. Demonstrated proficiency with Microsoft Excel and/or Google Sheets.
  2. Experience in customer service or hospitality.
  3. Strong interpersonal skills, verbal and written communication skills.
  4. Strong organizational and administrative skills.
  5. Strong creative thinking and problem solving skills.
  6. Demonstrated ability to prioritize between multiple responsibilities.
  7. Ability to interact effectively with colleagues, students, and the general public.
  8. Ability to work in a highly collaborative environment.
  9. Preference: Experience in a post-secondary environment, specifically within service provision.
  10. Asset: Familiarity with the operation of Apple products and Google applications.
  11. Asset: Previous work or volunteer experience in any University or Students' Union student service.
  12. Asset: Understanding of Students Union governance structures and operations.

TERMS OF EMPLOYMENT

The standard hours of work for this position are 37.5 hours per week, with some evening and weekend work required. This position requires you to work on location in Student Life Central in the Students' Union Building and at other InfoLink locations on campus, as needed.
