We are a small, agile team based in Etobicoke, passionate about delivering top-tier food ingredients with integrity, creativity, and care.

We're hiring an Administrative Coordinator & Customer Support team member to be the backbone of our operations – someone who thrives on structure, communicates clearly, and can handle the fast-moving rhythms of a growing business. This is a full-time contract position with the strong potential to become permanent. You'll work on-site, 9-5 pm, 4 days/week and depending on experience and comfort in the role, 1 day/week remotely.

Your Role

You'll support multiple departments and ensure the office runs smoothly – from preparing samples to processing invoices and supporting customer orders.

Key Responsibilities:

  • Respond to customer emails and phone calls with professionalism and care
  • Prepare and track outgoing samples and courier shipments
  • Support order processing and customer service functions
  • Handle invoicing (AR) and assist with vendor invoice processing (AP)
  • Perform data entry, reconciliation, and administrative reporting
  • Maintain general office organization and supplies
  • Assist with documentation and process improvements across departments

Once you're up to speed, we'll encourage you to bring forward ideas to improve our systems and workflows.

What You Bring

  • A diploma or degree in Business Administration or a related field
  • 3+ years in a similar administrative, customer support, or office coordination role
  • Proficiency in MS Office (Word, Excel, Outlook), and comfort with digital tools
  • Sage or ERP software experience is a strong asset
  • Excellent written and verbal communication skills
  • A knack for staying calm, focused, and flexible when priorities shift
  • A commitment to excellence in every detail
  • French language skills are a plus
