Pathways to Independence is looking for a Full-Time Permanent Scheduler to provide services and support to the Scheduling Department. Reporting to the Client Scheduling Manager, the Scheduler ensures the smooth operation of Pathways programs and services through scheduling of part-time employees required to cover vacation and absences in a timely manner using a computerized program. The Scheduler will schedule staff in compliance with the collective agreement and to meet established operational requirements of the agency.

The successful candidate must have the following skills/qualifications:

  • A post-secondary diploma or certificate with demonstrated skills in creating and interpreting reports, data entry, office administration;
  • Excellent verbal and written communication skills and demonstrated ability to follow through on communication commitments.
  • Ability to foster collaborative relationships;
  • Excellent interpersonal skills;
  • Demonstrated organizational skills;
  • Ability to deal with people sensitively, tactfully, diplomatically and professionally at all times;
  • Ability to work efficiently as a part of a team as well as independently;
  • Excellent computer skills;
  • Ability to maintain confidentiality;
  • Ability to solve problems and make decisions; and
  • Effective time management skills

Ideal candidates will also possess the following:

  • Knowledge of relevant acts, legislation and regulations;
  • Knowledge of the collective agreement;
  • Experience working with scheduling software and payroll;
  • Data analysis skills; and
  • Professional appearance and manners;

Ideal candidates will also have experience and abilities aligned with the key responsibilities for these positions, which includes:

  • Schedule staff to ensure coverage for Pathways programs and services per the Collective Agreement including vacation, lieu time, training, disability, etc.
  • Cover unexpected vacancies on a daily basis due to sick, compassionate, bereavement and other absences as they occur;
  • Develop and utilize appropriate forms of communication with Managers, payroll and other pertinent personnel;
  • Maintain the staffing information on the scheduling software;
  • Maintain accuracy in data input;
  • Maintain complete and accurate documentation of scheduling information, including communications, requests for time off, etc. using appropriate computer systems
